The Executive Assistant 3 will provide high-level executive administrative support to the Director of Public Services, by handling information requests, performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. The Executive Assistant 3 will assist with FOIA (Freedom of Information Act) requests, assist with special projects, ordering of supplies, and other related duties as assigned. The Executive Assistant 3 may also train and supervise lower-level clerical staff.
Some responsibilities will include:
- Provide confidential administrative support to the Director & Deputy Director of the Department of Public Services (DPS).
Handle citizen complaints on behalf of the Director & Deputy Director.
Coordinate all Department of Public Services insurance claims investigations.
Process all travel vouchers disbursements.
Handle & screen all calls to the Department Director & Deputy Directors office and acts as backup.
Process records/transactions in JD Edwards financial system for Director & Deputy Director as well as assist Division Directors of DPS.
Maintain calendars, organize meetings, coordinate appointments & make travel arrangements for the Department Director & Deputy Director.
Coordinate & compile monthly reports for all DPS Divisions
Maintain records, distributes petty cash, store keeping requisitions, & other miscellaneous funds.
Responsible for the handling & ordering of office supplies & office equipment through the online ordering system for the Director & Deputy Director of DPS and administrative staff.
Coordinates & assists with special projects as directed
Qualified Applicants will have:
Bachelor's Degree is preferred
4 to 5 years of office/executive experience and great knowledge of technology tools to assist with responsibilities.
(Copier, Printer, Scanner, etc.)
