Executive Assistant:
Job Description
The purpose of this job is to provide comprehensive, professional, and proactive administrative support for Taskforce executive leadership, exercising confidentiality, tact, and diplomacy.
In this role you will:
- Oversee the executive calendar and coordinate a variety of meetings and appointments; serve as a liaison between executive and other managers/ team members.
- Coordinate and assist with prioritization of executive’s daily schedule.
- Arrange detailed travel plans, itineraries and agendas, compile meeting documents, and monitor executive’s travel schedule; assist with resolution of logistical issues and meeting time changes.
- Coordinate and plan on- and off-site events, board meetings and other company-related functions.
- Support senior leadership team with ad hoc projects.
- Complete and reconcile expense reports.
- Mail patient statements and other correspondence for various clients.
- Perform general administrative tasks such as scanning, filing and data entry.
- Organize and manage daily mail.
- Deposit checks daily.
- Manage office supplies and local vendors.
Qualifications
- Associate degree in business, office administration/management or related field required; bachelor’s degree preferred.
- Experience supporting executive level leadership preferred.
- Intermediate Microsoft Office skills required; advanced skills preferred.
- Experience working on projects from inception to completion.
- Experience using electronic calendars to schedule appointments, meetings, and other functions.
- Excellent written, verbal, and listening communication skills.
- Ability to maintain confidentiality and manage sensitive information ethically and responsibly.
- Excellent organizational skills.
- Ability to multi-task and meet deadlines.
- Ability to collaborate and work as a member of a team with tact and diplomacy.
- Ability to communicate effectively and professionally with all levels of the organization.
- Ability to take initiative and work independently with minimal supervision.
- Ability to analyze and solve problems.
Physical Requirements & Working Conditions
- General office work requiring sitting or standing for long periods of time.
- Able to lift 30 lbs.
- Able to work occasional odd hours as needed.
