POSITION SUMMARY
The Executive Assistant enhances the effectiveness of an executive or senior level management employee by managing calendars, making travel, meeting and event arrangements as well as preparing reports and financial data. This role provides representation of the company's leadership by interfacing with team members, customers, vendor partners and potential clients.

ESSENTIAL JOB FUNCTIONS:
- Answers, screens, and transfers inbound calls
- Receives and directs visitors and clients
- Manages schedules and emails for multiple senior level executives
- Performs general clerical duties including photocopying, fax, mail, and e-mailing
- Handles ad hoc requests for information and data
- Liason between internal departments and external business partners
- Assists in closings by managing timelines and coordinating document circulation
- Plans events, facilitates meetings and organizes community outreach programs
- Prepares, completes and modifies documents including correspondence, reports, drafts, memos, contracts and e-mails
- Schedules and coordinates meetings, appointments and travel arrangements as needed
- Performs other duties as assigned
SPECIFIC EDUCATION OR EXPERIENCE:
- Advanced Microsoft Office Suite experience is required
- Experience with construction software systems is helpful, though not required
- Knowledge of the operation of standard office equipment
- Associate or Bachelor Degree preferred
PHYSICAL DEMANDS AND WORK ENVIRONMENT
- Frequently sit, stand and walk

- Frequently required to use hands or fingers to handle or feel objects, tools or controls
- Occasionally required to climb or balance, stoop, kneel, crouch or crawl
- Occasionally lift and/or move up to 25 pounds
- Vision abilities to include close vision, distance vision, peripheral vision and the ability to adjust focus
- The noise level in the work environment is usually moderate
- Temperature in the workplace is typically moderate
TRAVEL REQUIREMENTS
This position requires local travel up to 30% of the time and out of town travel up to 20% of the time.
