Key Responsibilities:
Manage and maintain the calendar, including scheduling meetings, appointments, and travel arrangements.- Coordinate and prepare for board meetings, including taking minutes, preparing board books, and following up on action items.
- Organize company events, staff meetings, and other corporate functions.
- Handle phone calls, screen inquiries, and provide timely responses.
- Prepare and manage expense reports, as well as oversee monthly, quarterly, and annual calendars.
- Assist with various projects and presentations, ensuring high-quality and timely delivery.
- Review and check memos, emails, and other outbound communication for accuracy and appropriateness.
- Coordinate travel arrangements and networking events, ensuring efficient use of the CEO's time.
- Schedule and facilitate meetings with key stakeholders, ensuring all necessary materials are prepared in advance.
Qualifications:
Proven experience as an Executive Assistant, preferably within the real estate or related sectors.- Excellent organizational and time management skills.
- Strong communication and interpersonal abilities.
- Familiarity with office management procedures and basic accounting principles.
- Proficiency in communication and productivity technology
- Ability to multitask and prioritize daily workload.
- Discretion and confidentiality.
- High school diploma; additional qualification as a personal assistant or secretary will be a plus.
