GENERAL DESCRIPTION

(ECV) is a black-owned firm with a diverse team who is seeking an experienced Executive Assistant to join our internal team as a W-2 full-time employee. ECV serves six and seven figure business owners who are seeking to create eight figures in wealth through advanced tax planning and wealth management through a racial equity lens. We are seeking an Executive Assistant who is able to self-manage, work as a team player and contribute to the overall growth, development and success of the organization.

This individual will be responsible for, but not limited to:

  • Serving as the first line of defense to safeguard the executives and managers
  • Sitting in and/or facilitating internal and external meetings when managing partner is not available
  • Overseeing and managing contractors, vendors, and internal deliverables and deadlines

Here are a few competencies that we would expect an Executive Assistant to display from Day One:

  • Proactiveness - You have the ability to constantly think of things that the people you are supporting are not thinking of
  • Follow-Up/Follow-Through - You have the ability to continually follow-up on communications, either internally or externally, to ensure the task at hand is completed
  • Organization - You are extremely organized and can plan and execute projects. You have a high degree of accuracy and attention to detail.

The ideal candidate should be tech-savvy, able to communicate through multiple channels, and a fast responder.

LOCATION & SCHEDULE

The ideal candidate for this role would be based in Montgomery, Alabama however, we will consider a remote worker if a remote worker is the best candidate. As our clients are throughout the United States and a few other countries, we use video calling and maintain a professional image while serving all of our small business clients throughout the world.

ECV offers a tremendous amount of time flexibility for our team. We expect this position to be committed to a minimum of 30 to 40 hours per week. There may be times where we would need the candidate to work after 5 PM ET or on a weekend. However, proper notice will be provided when work outside of traditional business hours is necessary.

COMPENSATION

Compensation is negotiable based on experience and can range between $25 to $32/hour. This role has 3 steps in its career progression. JOB DUTIES

  • Assist the Managing Partner with deliverables management
  • Assist the Chief of Staff with execution of the annual plan
  • Manage a direct report that will support your role as an EA
  • Oversee with the Chief of Staff, CPO and/or HR Consultant the HR department and functions.
  • Assisting the Managing Partner with finding identifying ideal speaking engagements and submitting proposals
  • Oversee the Managing Partner’s calendar and ensuring that the system around it’s management is being maintained
  • Manage the managing partners communications via Slack, Email, Texts, DMs, etc.
  • Booking travel arrangements for team members and notifying the various parties as deemed necessary
  • Assist the Managing Partner with marketing initiatives that we are responsible for leading
  • Curate and plan internal and external events throughout the year.
  • Oversee the management of engagement letter end dates and renewals.
  • Managing and nurturing external relationships and partnerships to include clients, vendors, potential referral partners, etc.
  • Overseeing marketing contractors and vendors.
  • Oversee the management and maintenance of ECV’s websites, funnels, and other AI generated content and systems.
  • Managing internal security compliance, to include SageNext usage and access request needs.
  • Reviewing written documents and literature before it is disseminated both internally or externally
  • Present excellent customer-service skills to customers and clients.
  • Work closely with various team members to provide feedback on current systems and workflows.
  • Other duties that either arise or as time allows for additional duties and responsibilities.

REQUIRED EXPERIENCE

  • 2 to 5 years of experience serving C-Suite professionals and other executives
  • Progressive and visible experience showcasing the skills necessary to perform at an executive level
  • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel)
  • Experience with Google Docs, cloud services, and other technology tools
  • Knowledgeable in technology to communicate via computer, smartphone, or text
  • Highly organized and able to multitask and work well with fast-paced directions and instructions
  • Able to manage time effectively and efficiently
  • Able to organize and manage large amounts of files, tasks, schedules, and information
  • Self-directed and able to work without supervision
  • Excellent verbal and written communication skills
  • Strong presentation skills
