As our Executive Assistant, you will be responsible for providing high-level administrative support to the Winchester Senior Leadership Team. The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work both independently and collaboratively. They will also possess the highest degree of professionalism and integrity, particularly with very sensitive information. The candidate must be well-organized, flexible and enjoy the administrative challenges of supporting a range of diverse people and projects.
Qualifications & Requirements:
- College degree BA, AA, AS or higher and a min of 5 years experience
- Familiarity with digital collaboration tools and video/virtual conferencing platforms
- Self-motivated team player with desire and drive to learn and grow
- Operate efficiently, learn, adapt quickly and lean forward
- Outstanding interpersonal skills, both verbal and written
- Excellent prioritization and organizational skills
- Problem-solver with sound business judgment
- Forward thinker with proactive mindset and attention to detail
- Tech savvy – MS Office, proficiency with Google Workspace a plus

What will you be Accountable for?
- Efficiently managing the schedules of the CEO, COO, and other executives, including scheduling meetings, appointments, and conference calls, and resolving scheduling conflicts
- Planning and organizing travel itineraries, including flights, accommodations, ground transportation, and any necessary visas or travel documents for executives
- Acting as a liaison between executives and internal/external stakeholders, managing incoming and outgoing correspondence, emails, and phone calls, and handling inquiries on behalf of executives
- Assisting in the preparation of meeting agendas, materials, and presentations, as well as coordinating logistics for meetings, including room bookings, catering, and audiovisual equipment setup
- Maintaining and organizing confidential files, records, and documents, such as contracts, reports, and presentations, ensuring easy access and retrieval as needed
- Providing administrative support for special projects, initiatives, or events led by executives, including research, data analysis, and coordination with relevant stakeholders
- Handling expense reporting and reimbursement processes for executives, ensuring accuracy, compliance with company policies, and timely submission
- Identifying and prioritizing tasks and deadlines for executives, ensuring that important matters are addressed promptly and efficiently
- Demonstrating discretion and maintaining confidentiality regarding sensitive information, such as strategic plans, personnel matters, and financial data
- Providing ad hoc support and assistance to executives as needed, adapting to changing priorities and demands in a dynamic business environment
- Maintaining and ordering office supplies, groceries, etc.
How will you Collaborate?
Primary collaboration will be with the CEO and other top executives. You will provide support to them in various administrative tasks, scheduling meetings, managing calendars, and preparing materials for presentations or reports. Liaising with the different business unit leaders, managers, Engineering, Finance, HR and IT to schedule meetings, coordinate agendas, and facilitate communication with the executive leadership team.
What are you Empowered to do?
- Has authority to make certain decisions on behalf of the executive team, especially in matters where quick action is required and within pre-established guidelines
- Manage the CEO's calendar autonomously, including scheduling, rescheduling, and prioritizing meetings based on the CEO's objectives and availability
- Confidentially handle sensitive information and documents, such as confidential memos, financial reports, and strategic plans
- Communicate on behalf of the CEO or executive team in certain situations, such as responding to routine inquiries, scheduling appointments, or representing the company at events or meetings when necessary
- Take the lead on specific projects or initiatives, coordinating with various stakeholders, setting timelines, and ensuring objectives are met. This could include organizing company events, managing special projects, or overseeing office renovations
- Build and maintain relationships with key stakeholders, both internally and externally
- Proactively identify challenges or inefficiencies in administrative processes and propose solutions
