Executive and Administrative Assistant
About the Opportunity:
We are seeking a highly motivated and detail-oriented individual to join our team as an Executive and Administrative Assistant, supporting our CEO. This fast-paced and dynamic role offers a unique opportunity to work directly with senior leadership, contributing to the success of the company in many ways.
Responsibilities:
- Calendar and Meeting Management:
- Manage the CEO's calendar, scheduling appointments, meetings, and travel arrangements.
- Anticipate needs and proactively prepare agendas and briefing materials for meetings.
- Ensure smooth execution of meetings, taking accurate minutes and following up on action items.
- Administrative Support:
- Handle incoming calls, emails, and inquiries efficiently and professionally.
- Draft and proofread correspondence, presentations, and other documents.
- Maintain and organize filing systems for paper and electronic documents.
- Coordinate travel arrangements and expense reports.
- Manage office supplies and ensure a smooth workflow.
- Project Management:
- Support the CEO with assigned projects, managing timelines, resources, and deliverables.
- Proactively identify and solve problems, anticipating needs and recommending solutions.
- Track progress and communicate updates to stakeholders.
- Contract and Legal Support (legal expertise is not a requirement):
- Prepare and review Non-Disclosure Agreements (NDAs) with the aid of a template or sample document.
- Assist with cursory contract review and identification of potential issues.
- Maintain awareness of legal and regulatory requirements related to the CEO's activities.
- Additional Responsibilities:
- Serve as a confidential resource for the CEO, discreetly handling personal and professional matters.
- Research and gather information as needed.
- Perform other duties as assigned.
Qualifications:
- Minimum of 3-5 years of experience as an administrative or executive assistant.
- Strong organizational and time management skills with the ability to multitask effectively.
- Excellent communication and interpersonal skills, able to build rapport with individuals at all levels.
- Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Proficient in project management methodologies and tools (e.g., Asana, Trello).
- Strong analytical and problem-solving skills.
- Ability to work independently and take initiative.
- Discretion and ability to maintain strict confidentiality.
- Meticulous attention to detail and accuracy.
- Flexibility to work beyond regular hours when needed.
- Must be in San Antonio, Texas or within commuting range.
