The Administrative Assistant performs administrative and office support activities for multiple departments. Duties include a wide variety of daily and project based tasks including word processing, creating spreadsheets, reporting, data entry, phone and lobby receptionist, document management, and filing. Extensive software skills are required, as well as Internet research abilities and strong communication skills. This associate will also assist the executive team with various tasks. Please note this role is full-time.
Essential Functions
- Using Excel, create spreadsheets, navigate and edit spreadsheets, generate reports using charts and graphs, and understand common formulas and shortcuts.
- Assist Accounting department with various tasks including customer set up, direct ship confirmation, vouchering, and miscellaneous tasks as needed.
- Back-up phone and lobby reception on a regular basis.
- Run and maintain monthly reports for various departments.
- Data entry into computer, lots of one-off projects.
- Update and ensure accuracy of PEC business databases.
- Basic project management for a variety of specific projects.
- Scanning documents into digital document system.
- Open and distribute US Postal mail, email, and faxes on part-time basis.
- Other responsibilities and/or projects as assigned by management.
Desired Experience, Education, and Skills
- High school diploma / GED required; 2-year degree or better is preferred.
- 2+ years previous experience in an Executive Administrative role
- Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software (MSWord, Excel, Access, PowerPoint).
- Previous experience with sales reporting platforms is a plus.
- Be very organized, ability to multitask a variety of responsibilities and meet deadlines.
- Exhibit a high degree of professionalism and customer focus.
- Must have high level of interpersonal skills to handle sensitive and confidential situations.
