Responsible for administrative service functions, Leadership Team support, shareholder services, project management, and purchasing.
Principal Responsibilities and Duties:
A. Administratively supports Bank President and Leadership Team and maintain communication with Board of Directors
- Coordinate and schedule webinars, conferences, and meetings for the Bank President and Senior Leadership Team.
- Edit communications for the Bank President.
- Prepare for Board and Loan Committee Meetings.
- Gather month end reports from various officers to submit to Board Members before the meeting, contacting them for meeting if necessary.
- Prepare Board Committee meeting agendas and individual files for directors.
- Maintain schedules for Directors, a schedule of committee meetings and communicate with directors monthly informing them of meeting schedule.
- Prepare Board minutes for review by Board Members.
- Work with the leadership team to provide continual correspondence with Board Members to keep them informed of Bank activities and press releases.
- Prepare and submit to Board members all other miscellaneous reports and communications.
B. Assists CFO with Stockholders & Luxemburg Bancshares, Inc. Information
- Acts as the main contact between the Company and Transfer Agent.
- Insures all stock transfers are correctly recorded.
- Prepares dividend information and documentation to Transfer Agent for shareholder correspondence.
- Assists with the preparing of information for annual stockholders meeting including proxy, proxy statement, letters and annual stockholder booklets and any other meeting responsibilities.
- Maintain the LBI and LBS banking accounts and pay bills and provide monthly reconciled ledgers to Controller.
C. Assists the CLO with the weekly Loan Officer Loan Committee
- Captures the minutes from the weekly LOLC meetings
- Works with Credit Department and Lenders to ensure Loan Presentations are accurately inputted into Onboard for the Board's approval in a timely fashion.
- Take the information captured from the LOLC meetings and prepare it to be provide to the Board
D. Performs Other Miscellaneous Duties
- Updates Strategic Plan as needed.
- Gathers necessary information for auditors and Bank Examiners.
- Orders office supplies for the Luxemburg main office.
- Serves on committees as appointed by President/CEO.
- Assists members of the Leadership Team with correspondence, reports and other projects as requested.
A Business or Administrative Associate degree and five years experience or equivalent experience. Ability to work both independently and as an integral part of a team. Excellent written and verbal communication skills. Strong analytical skills and adept at problem solving. Ability to manage multiple projects/tasks at one time; flexible; adaptable. Understanding of and concurrence with bank philosophy. Demonstrated ability to work harmoniously with all types of people. Demonstrated ability to obtain cooperation from others and build a sense of teamwork. High ethical standards. Ability to work with all levels within the organization and make appropriate recommendations. Ability to communicate effectively with people both internally and externally. Attention to detail.
