Freedom House Ministries is open 24 hours every day of the year providing shelter for families experiencing homelessness. Through meeting basic needs and providing comprehensive programming, our mission is to walk alongside families as they work to become self-sufficient.
POSITION OVERVIEW:
The position will report to the Executive Director and support the efficient operation of the organization. This is a vital role that will require discretion and confidentiality, while representing the leadership. The person in this role will be successful when they are able to take a professional proactive approach to their daily work. They are organized and excel in time management. They anticipate the needs of the executive director and their fellow colleagues. A wide range of administrative and office support activities will aid in the successful execution of the mission of Freedom House Ministries.
DUTIES & RESPONSIBILITIES:
- Provide administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on the executive’s behalf.
- Maintain comprehensive and accurate records.
- Perform minor accounting functions.
- Organize meetings, including but not limited to scheduling, sending reminders and preparing conference room for board and committee meetings.
- Manage the Executive’s calendar, including making appointments and prioritizing most sensitive matters.
- Assist with data entry and file management for organization’s business.
- Assist with purchasing products for both internal office and client needs.
- Receive and direct telephone calls and emails and relay conversation and pertinent messages to others while maintaining accuracy, clarity, and confidentiality.
- Function as the receiver of official documents and mail addressed to the office and distribute to the appropriate personnel.
- Create an archive of relevant information for grants, fundraising and other organizational functions.
- Generate thank you letters and acknowledgements as needed.
- Perform follow-up and courtesy calls on an as needed basis.
- Maintain and organize office common areas daily.
- Guide other members of the staff to perform office activities including the proper use of computer applications.
- Cooperate with co-workers to maintain a friendly environment and proper interaction within the office.
- Perform other duties as assigned.
QUALIFICATIONS:
- A minimum of 1 to 3 years of experience in an executive assistant role within a non-profit office environment.
- Must be proficient with Office 365, and One Drive File Management.
- Highly organized, self motivated.
- Excellent verbal and written communication skills.
- Detail oriented and good time management skills and ability to prioritize work.
- Demonstrated ability to take initiative, anticipate needs and exercise independent/sound judgment.

Pay: $20.00 - $23.00 per hour
