Job description

This role supports four Equity Franchise salespeople and requires strong attention to detail and a willingness to work in a fast-paced, client-facing environment.  This role will coordinate efforts with two other assistants in the group: one in San Francisco, and the other in Los Angeles. A positive, collaborative approach with the other assistants is both expected and required.

Supporting the Sales Team includes:

  • Answering phones, scheduling meetings, assisting with client requests, submitting expense reports via Concur, scheduling travel and organizing analyst marketing, non-deal and deal roadshows. 
  • Frequently fielding client requests first-hand, especially when the rest of the Sales Team is away from the desk. 
  • A self-starter who can rapidly adapt to challenges that arise throughout the day. 
  • A workday that runs 6am-3pm, with opportunity for overtime.

Job Responsibilities:

Email / Phones.  The assistant must have exceptional attention to detail when checking email and answering phones.  Inability to proficiently check email can lead to scheduling errors and missed client requests. 

Expenses.  Use of SAP Concur to efficiently process the team's heavy volume of expenses.  The assistant must prioritize expenses to ensure that all cards are active and in good standing.  Also act as subject matter expert for policies and procedures.

Travel.  The Sales Team travels primarily in the West but also throughout the U.S. and internationally.  Travel itineraries can be complex, and all travel must be booked accurately through the Firm's authorized travel agency and under appropriate J.P. Morgan expense guidelines.

Scheduling.  Leading the end-to-end marketing effort for analyst, non-deal and deal-related roadshows. Working with Sales Team to facilitate conference-related access for investor clients. 

Required Qualifications, Capabilities and Skills:

  • 5+ years of administrative experience, supporting all levels through Managing Director.
  • Advanced organizational skills.
  • Integrity, tact and good judgment in confidential situations. 
  • Strong interpersonal skills, as well as written and oral communication skills.
  • Proficiency with Microsoft Office, SAP Concur and American Express Global Business Travel.
  • Excellent telephone etiquette.
  • The ability to manage competing priorities, and to learn procedures and processes quickly.
