Divergent Technologies is seeking an experienced Senior Executive Administrator to provide administrative, organizational and some personal assistance and support to the SVP. The successful candidate will have exceptional organizational and communication skills, the ability to work independently and as part of a team, and a track-record of delivering high-quality results.
Key Responsibilities:
Attend meetings, take notes, and distill down the key takeaways, action items, and follow-ups
Keep schedule of follow-ups, sometimes following up directly on the SVP's behalf, ensuring no actions are missed
Manage work schedule, beyond simply basic scheduling, analyzing interdependencies to create the most effective overall schedule
Make professional and personal travel arrangements for the executive, his family, and staff, including booking flights, accommodations, transportation, and managing travel itineraries. Optimize travel days
Interface with conferences and other events to ensure smooth attendance
When applicable attend events/conferences with executive to support from handling introductions to taking notes to managing food/beverage
Assist with managing email from organization of inbox to drafting emails to sending direct replies
Manage meeting preparation and setup for in-person and virtual meetings
Prepare reports and presentations as required
Provide general administrative support, such as managing expenses, minor accounting duties, processing invoices, ordering office supplies, and managing any other administrative tasks as required
Scan, organize, and maintain electronic documents, files, and records, ensuring information is accurate, up-to-date, and easily accessible
Ordering gifts, cards, flowers, etc., as applicable
Arrange and coordinate employee retreats and social events, prepare agendas, coordinate attendees, book venues and catering, and provide necessary materials or equipment
Assist with various personal tasks, including errands as required, ordering lunch, personal shopping, ordering gifts, managing appointments, organizing finances, managing correspondence, reminding of events and milestones, managing household matters, or other ad hoc requests
Assist with planning and organizing professional or personal events, including coordinating guest lists, managing invitations, securing venues, arranging decorations, and overseeing logistics
Maintain confidentiality and discretion in handling professional and personal sensitive information, documents, and discussions within and outside the organization
Collaborate with CEO Chief of Staff as needed

Bachelor's degree or equivalent work experience required.
5+ years of experience as an Executive Assistant, preferably in a fast-paced corporate environment.
Exceptional organizational and time-management skills, with the ability to manage multiple priorities and deadlines.
Strong written and verbal communication skills, with the ability to communicate effectively with executives, staff, and external partners.
Ability to maintain confidentiality and handle sensitive information with professionalism and discretion.
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other software and tools as needed.
Experience working in a shared-resource environment is preferred.
