Our fast-growing Estate Planning and Probate Law Firm is seeking a dynamic and detail-oriented Executive Assistant to join our team.
The ideal candidate will be responsible for providing daily administrative and operational support to the Firm. The best person for this role has great attention to detail and is proactive/resourceful, with the ability to work independently and with a team. The key responsibilities include maintaining timely communications for the Firm, managing the Firm calendars, performing client data entry, and general document management. The Executive Assistant must have a passion for the client experience – this position is the first touchpoint for all potential new clients and strong interpersonal skills and a focus on relationship building are must-have traits for the Firm.

Responsibilities:
- Calendar Management – coordinate and manage the legal teams’ schedules, appointments, and meetings.
- General Support – support the team with general administrative tasks, office space maintenance, and special projects as needed.
- Timely Communication – handle and prioritize incoming and outgoing communications, including emails, phone calls, and written correspondence.
- Data Management – perform data entry, such as updating and maintaining information within the Firm’s database.
- Document Preparation – file loose documents, collect and prepare documents for attorney consultations, and prepare client binders.
- Relationship Management – provide excellent customer service by greeting visitors, following up with clients, and building positive relationships with referral partners.
Qualifications:
- Associate’s Degree or Higher
- 3+ years of experience in providing excellent customer service and administrative or executive support
- Strong written and verbal communication skills
- Excellent organizational abilities with attention to detail
- Proactive and able to work independently as well as part of a team
- Proficient in Adobe and Microsoft Office Suite
- Preference given to candidates with legal experience
