Position Description: The Executive Administrative Assistant (EAA) supports the Vice President-Tax, the Executive Director-Federal Tax and members of their teams. The EAA collaborates with other Tax members on department management and projects and serve as backup administrative and compliance support for the State and Local Tax Group as necessary. Responsibilities include: Executive Administrative Support: Create/maintain documents, spreadsheets, presentations, and charts; manage complex meetings and conference calls, domestic and international; interact with internal and external executives and assistants; synchronize electronic and paper calendars; manage incoming and outgoing calls and correspondence; coordinate travel arrangements; prepare expense reports; organize and maintain confidential files. Office Management and Department Support: Distribute incoming mail. Process department accounts payable. Track subscription inventories. Order supplies and maintain supply stock organization. Schedule resource rooms. Initiate and track logistics requests, facilities requests, and department equipment maintenance. Assist with logistics for and participate in recurring department meetings. Tax Project Support and Records Management: Assist with logistics, organization, and information gathering related to research, compliance, and audit projects. Assist with maintenance of information databases and permanent tax files. Maintain organization of tax files on site and in archive. Maintain tax file inventory database.
Qualifications: - Bachelors degree required. Business or accounting major preferred. Equivalent on-point work experience considered. - 8 years administrative support experience required including 2 years at the executive level and 2 years in an accounting, tax or finance department or at a major accounting or law firm. - CPS/CAP certification or equivalent preferred. - Intermediate to advanced skills in Microsoft Outlook, Word, Excel, and PowerPoint required. Microsoft Office Specialist certification preferred. - An aptitude for numbers and interest in accounting and / or tax is essential. - Experience in a tax department or with a tax preparer desired. - Working knowledge of any of the following software systems desired: Microsoft Visio, Sharepoint or Access; Versatile Professional; PeopleSoft Financials; Hyperion Financial Management Reporting - Multilingual a plus.
