EVENTS & MARKETING COORDINATOR

Annie’s Annuals & Perennials, located in Richmond, CA is a nationally recognized, trend-setting plant nursery offering one of the largest selections of rare and unusual annuals and perennials to be found anywhere. Our offerings include exclusive plant introductions, California natives, cottage garden heirlooms, and Mediterranean climate varieties from around the world. The majority of plants are grown from seed without the use of growth hormones, systemic pesticides or neonicotinoids. Our on-site, 3.5 acre growing area is a horticultural and pollinator wonderland! Annie’s focus on plant education makes gardening accessible to everyone – from beginning gardeners to lifelong enthusiasts. Our business comprises retail, wholesale, mail order and web sales.

Events and Marketing Coordinatorworks with the Marketing Manager, in collaboration with the larger Annie’s team, to successfully plan and execute Annie’s weekly weekend retail educational speakers’ program and other special on-site community events. In addition, the events and Marketing Coordinator will assist the marketing team in preparing marketing materials for events and other promotional campaigns that drive traffic and sales. This is a great entry position for anyone with a strong desire to work in events management, hospitality, marketing or retail. This position can be hybrid, with 2 days per week remote work. Requires the ability to work regular Saturdays and occasional Sundays.

Responsibilities Events Management

  • Manage all administrative duties and details associated with the events including outreach and communications with speakers, logistical coordination with retail, development and distribution of promotional materials and responding to customer and team member inquiries.
  • Coordinate speaker engagement agreement terms: from execution of contract, signed agreement, W-9 and compensation with Finance.
  • Prepare a brief synopsis of speaker's background and highlight how that fits with Annie's brand and community to be used as basis for event marketing materials.
  • Facilitate and coordinate all day of event logistics including but not limited to setup of audio, video, signage, seating, tables, PowerPoint presentations, power, equipment, and other guest hospitalities.
  • Assist in preparation of event promotional materials including creating event posters, signs, social media posts, online calendar postings and email in cooperation with marketing team.
  • Researching, sourcing, and coordinating all other ancillary food and merchandise vendor pop-up arrangements for nursery events.
  • Maintain events speakers, vendors, contacts database
  • Update and maintain both internal and public-facing online events calendars
  • Act as a speaker/vendor host at the events, including publicly introducing speakers to guest audiences.
  • Coordinate with retail nursery to manage requests for donations
  • Track event sales and make recommendations to optimize future event success.

Marketing Support

  • Provide graphic design support as needed using Canva and/or Adobe Creative Suite
  • Assist with social media marketing, including creating and publishing social media posts, employing both static image and video formats.
  • Assist in general marketing content creation
  • Assist with weekly email campaign creation and publishing using Klaviyo.
  • Help photograph/video plants and nursery beds for use in catalog, website, social media, and newsletters.
  • Other duties as assigned and consistent with a rapidly growing business.

General Qualifications:

  • Must be able to work most Saturdays and occasional Sundays
  • 1-2 years of events, marketing, sales, or customer service experience
  • Positive attitude and competitive spirit
  • Able to problem-solve effectively
  • Ability to work in a fast-paced marketing and retail sales environment
  • Comfortable speaking in front of both small and large groups
  • Strong desire to work in the retail/ marketing/ sales or promotional event field
  • Excellent written and oral communication skills
  • Proficient in Word, Excel, PowerPoint, Outlook and Google Suite
  • Aptitude and desire to learn new technologies and business concepts
  • Attention to detail, strong grammar and proofreading skills.
  • Ability to work cross-functionally and collaboratively with internal and external teams
  • Demonstrated ability to take initiative, organize, prioritize and manage a high volume of detailed projects simultaneously

Additional Preferred Qualifications

  • Knowledge of plants a big plus, but if not, a willingness to learn about them
  • Prefer platform experience on Facebook, Instagram, IG Stories & Reels, Twitter/X, TikTok and/or Pinterest.
  • Experience creating social media content for Facebook, Instagram, Instagram Stories & Reels, Pinterest, TikTok, and YouTube a plus
  • Experience with Sprout Social, and Klaviyo or similar social media and email publishing platforms a plus
  • Experience using Canva and/or Adobe Creative Suite (Photoshop, Illustrator, InDesign) also a plus
  • Some photography skills, including file resizing and editing is a plus
  • Video editing skills also a plus

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer during weekdays
  • Prolonged periods standing and walking at events during weekends
  • Must be able to lift 30lbs and willing to assist with physical set-up of events, on occasion, as needed.

Job Type: Full-time (40 hours per week)

Salary Range: $22-$27/hour depending upon experience
