Salary Range:    $24.00 - $33.00 Hourly
Description

Watson is seeking an experienced Event Coordinator to join the Marketing Team. The Event Coordinator will assist with the coordination, planning, and execution of the company's wide range of internal and external events. The Event Coordinator will be responsible for sourcing, coordinating, and managing a range of in-person and virtual events across the United States. A successful candidate will demonstrate excellent professional and interpersonal communication skills, planning skills, high attention to detail, and the ability to troubleshoot when things don't go according to plan.

The Event Coordinator plays a critical role in driving awareness and generating leads through meaningful and successfully executed events. This role is also an opportunity to elevate existing events and bring new ideas to the table. The Event Coordinator reports to the Director of Marketing.

What you'll do

  • Scope and plan multiple events simultaneously
  • Identify and understand all requirements for each event concerning tradeshows, VIP visits, tours, virtual trainings and webinars, conferences and community events
  • Manage pre-event planning, day-of event coordination, and post-event communication for in-person, hybrid, and virtual events and meetings
  • Oversee the entire event lifecycle which includes research, sourcing and site selection, contract negotiation, agenda development, event website or platform management and communication, F&B planning, A/V coordination, travel coordination, attendee registration, onsite event execution, vendor management, event logistic document creation, budget support and post-event cost reconciliation, and more
  • Responsible for stocking supplies and coordinating cleaning of Watson venues in Seattle and Poulsbo
  • Plan meetings, events, and other functions with extreme attention to detail without losing focusing on time and financial constraints
  • Collaborate with internal departments and external rep groups as needed
  • Seek feedback from attendees, clients, vendors, and speakers to ensure ongoing quality for our events
  • Execute sponsor/exhibitor duties such as exhibitor/sponsor communications, floor plan management, and coordinate general contractors
  • Manage communications with event speakers by coordinating timelines, data collection, and speaker travel/registration
  • Ensure all events abide by our company brand and reflect us appropriately
  • Evaluate, record, and complete post-event analysis to report the event ROI and KPI's for continuous improvement
  • Proactively bring new ideas and improved processes to the team to streamline operations and enhance the client experience
  • Travel may be required, specifically in Seattle and the Puget Sound region
Qualifications

What you'll need to know

  • How to utilize MS Office Suite, Adobe Acrobat, Zoom, and web conferencing software effectively
  • How to write and speak effectively with cross-functional internal teams as well as third party vendors and speakers
  • How to manage time and expectations across multiple simultaneous projects
  • How to deliver high-quality events without losing focus on all the details

Who You Are

  • Someone with 3+ years experience planning virtual and in-person events
  • Someone with tradeshow experience
  • Someone who can lift 30-50lbs repeatedly and also able to sit, stand, stoop, lift and reach marketing items
  • Someone with a positive attitude and ability to self-manage projects and deadlines
  • Someone who thrives under pressure and can adapt to changing situations
  • Someone who can travel between Poulsbo and Seattle locations as needed and who has a valid driver's license

Wage and Compensation

  • This role can expect to earn $24.00 - $33.00 per hour upon hire

Our Benefits

  • INSURANCE | All employees and their dependents will have the ability to enroll in medical, dental, vision, and life insurance plans. If enrolled, benefits begin on the first day of the month following the 60th day of employment at Watson.
  • RETIREMENT | Watson will match 50% of employees' 401k contributions, up to 2.5% of base annual salary. All employees over the age of 21 will be automatically enrolled on the first day of the month following 6 months of employment. You can opt out, decrease, or increase contribution at any time.
  • PAID TIME OFF | Hourly employees will earn 80 hours of paid time off during their first year at Watson, 120 hours of paid time off during years 2-5, and 160 hours of paid time off each year after being employed for 6 years.
  • PAID HOLIDAYS | Watson is closed for 8 holidays every year and offers every employee an additional paid holiday to choose upon employment.
  • PROFIT SHARING | Profit Sharing is how we reward the effort and commitment of our employees. Generally, 25% of profits are allocated to the Profit Sharing Plan after the baseline profit level is met. The overall profit sharing amount varies from year to year.
