The Event Coordinator serves as part of the Experience & Engagement program within the Philanthropy department and reports to the Senior Event Manager, Events. The Experience & Engagement program is responsible for acquisition, cultivation, and stewardship activities for Fred Hutch prospects, patients, and supporters. Expected to take initiative, be a self-starter, and be able to work independently of others. Must maintain professionalism, show flexibility, be customer-service oriented, have a strong attention to detail, handle multiple tasks and changing priorities, and remain composed under pressure of deadlines. The Event Coordinator must be able to effectively communicate the mission, values, and scope of the institution.
This position will be onsite a minimum 2 days per week at our South Lake Union campus and occasional evening and weekend support for events.
- Supports event team in all production tasks
- Primary responsibilities for multiple events include but are not limited to: guest registration, tracking sponsorship revenue and benefits, procurement and auction fulfillment, gift processing, and event logistic support
- Auction item management includes but is not limited to: procurement administration, solicitation and itemization, writing item descriptions, fulfillment, and record keeping of donations
- Coordinates day-of logistics for multiple events including set up, registration, troubleshooting during event, and clean up
- Recruits necessary event volunteers for assigned events: manage, train, support volunteers and field their event-related questions and needs
- Assists with tracking of event timelines and expense budgets for assigned events
- Documents and maintains records for historical analysis and information purposes
- Collaborates as part of the Fred Hutch Philanthropy team to meet annual fundraising goals for the Experience & Engagement team
- Manages volunteer roster updates for all formal Fred Hutch committees
- Maintains confidentiality of all sensitive materials and information in printed, electronic or verbal form
- Additional special projects and administrative tasks as assigned
- Bachelor's degree
- Two years experience in non-profit event planning, Philanthropy or related field
- Exceptional customer service skills
- Advanced proficiency in Microsoft Office Suite
- Must have strong attention to detail
- Highly developed organization and information management skills
PREFERRED QUALIFICATIONS:
- Experience with The Raiser’s Edge, Convio, and auction software
- Ability to communicate clearly and concisely, both orally and in writing
- Ability to prioritize workload and work under pressure
- Self motivation and flexibility
- Ability to build relationships and work in a team environment
- Ability to work under the direction of others and perform special projects as assigned
- Ability to set priorities, meet deadlines and manage multiple projects in a fast-paced, changing environment
- Ability to understand and carry out oral and written instructions and request clarification when needed
