GENERAL:
The Kent Downtown Partnership (KDP) is a 501C 3 nonprofit organization based on the guiding principles of the Washington State and National Main Street programs. The KDP mission is to strengthen commerce and promote growth in historic downtown Kent through programs and events that celebrate our unique and diverse community and culture.
The KDP is currently seeking a part time Events & Admin Coordinator with a passion for people, event planning, outreach and organization.

With oversight from the Executive Director, the Events & Admin Coordinator is responsible for assisting with all aspects of events from concept to the day-of execution.
This position will also include administrative support, communications, development of promo materials, event promotion and outreach efforts.
The Events & Admin Coordinator works closely with the Executive Director. The coordinator will also work with our Board of Directors, committees and stakeholders in raising awareness about programs, events and services.
ESSENTIAL DUTIES:
The coordinator is responsible for coordinating public events and activities in historic downtown Kent.
EVENT COORDINATION:
The position will implement events and will perform a variety of tasks including, but not limited to:
- Coordinate, organize and staff events, including annual, seasonal, reoccuring and special events, volunteer events and other occasional events as developed.
- Preparation and submittal of permit applications to City, State, WSLCB and other agencies as needed.
- Works closely with Executive Director to ensure event timelines are met and within established budgets.
- Plan and oversee event logistics, including but not limited to securing venues, catering, and other vendors; designing promotional materials, invitations and reminders; managing guest lists via online registration systems; preparing event related materials, and publications; and arranging logistics for event vendors and performers and coordinating volunteers and parking/transportation for visitors/guests.
- Update website and social media platforms.
- Staff events, including occasional weekend and evening events.
- Trouble shoot problems in real time.
- Maintain records of event details and help plan future activities.
- Prepare event recap reports
COMMUNITY ENGAGEMENT:
- Cultivate positive relationships with downtown businesses, residents, property owners, and other stakeholders.
- Serve as a liaison between Kent Downtown Partnership and the community, providing information and addressing concerns.
- Promote volunteer opportunities and engage community members in the organization's initiatives and events
ADMINISTRATIVE FUNCTIONS:
- Supports Executive Director
- Administrative functions including correspondence, email, scheduling/calendars, mailings, filings, note taking, reception and various errands.
- Occasionally attends Board and committee meetings as directed; may include research, taking minutes, preparing reports.
- Maintains press/media and organization contacts, distribution lists and rosters.
- Experienced with social media platforms, content and campaigns.
- Maintains good internal and external relations and conveys a professional image.
- Special assignments and projects as assigned.
QUALIFICATIONS:
- 5+ yrs demonstrated event and administrative coordination experience.
- Exceptional organizational, interpersonal, written and verbal communication skills.
- Outstanding administrative and customer support skills.
- Ability to multi-task and prioritize assignments.
- Strong knowledge of social media including Facebook, Instagram and emerging social media platforms.
- Organized, self-starter, capable of working independently and in a group setting.
- Software experience using Microsoft Office, Canva, WordPress and Google Analytics.
- Ability to occasional work nights/weekends.
- Ability to lift 40lbs.
- Trustworthy and honest
PREFERRED:
- Two-year degree from an accredited institution.
- Non-profit experience
- Valid WA State driver license
- Is familiar with the Kent community.
This is a Part-time position (25-30 hours per week) with potential to work into full time.
