What You Get To Do:

We are seeking a dynamic Event Coordinator to join our team. This position will be responsible for coordinating and managing trade shows, table-top demonstration events, field trainings, Reno customer trainings, and ensuring the effective organization of the sales and marketing collateral required for these events. This role demands strong communication skills to effectively communicate with external event organizers and internal team members crossing multiple departments coupled with a willingness to gain a basic working knowledge of LED linear lighting.


This demanding role will manage many off-site events over the year requiring patience in an often chaotic and ever-changing environment. This position will require a high level of comfort with problem-solving and an ability to anticipate change.


Success in this role is defined by responsibly and professionally representing the Company and its brands across all marketing messaging, internal and external. Keeping a keen eye on priorities and timelines, this role requires a strong, focused work ethic and an understanding of expectations to achieve Company, department, and individual goals. The Event Coordinator reports to the Director, Sales Operations to bring projects to the finish line, but works, independently, as needed.

Challenge Yourself - The Specifics:


Trade Show Events

  • Oversee all aspects of event planning, from venue selection, and vendor negotiation, to on-the-day logistics
  • Ensure all events are executed smoothly, reflecting the brand's standards and objectives
  • Coordinate booth setups, teardowns, and staffing schedules
  • Collaborate with the Sales, Marketing, and Product teams to showcase the most relevant products
  • Work closely with the technical team to ensure accurate representation of our products
  • Collaborate with the marketing team to develop, design, and source event collateral such as brochures, banners, and giveaways
  • Manage inventory of marketing collateral, ensuring timely replenishment and updates
  • Build and maintain strong relationships with event organizers, suppliers, and internal teams
  • Ensure timely and accurate communication regarding event specifics, requirements, and feedback


Customer (Reno Corporate) and Field Trainings

  • Manage the entire registration process for Trainings from the invite, hotel reservations, and catered events to transportation (limo) services
  • Sets up conference rooms and coordinates procurement for special events, meetings, and training of audio-visual equipment, supplies, food, beverages, etc.
  • Coordinate with Sales and Training team members to schedule and manage Field Training; including finding the location of field Trainings, managing contracts with hotels/restaurants for location and social event
  • Order food and drinks for all Customer and Field Training events
  • Manages the Event Calendar as it relates to Trainings
  • Coordinate "goodie bags" for guests and bring them to various hotels as required

You Have a Unique Combination of Skills, Talents, and Mindset, Including Many of the Following:

Knowledge of:

  • Office and administration procedures; supplies, equipment, and/or services ordering
  • MS Office (Word, PowerPoint, Excel) and Google Suite
  • English usage, grammar, spelling, vocabulary, and punctuation
  • Techniques for providing a high level of customer service by effectively dealing with the public, vendors, contractors, and staff
  • Proven success in event planning and coordination
  • Strong interpersonal and communication skills
  • Excellent organizational skills, including multitasking, time management, and attention to detail


Ability to:

  • Make good decisions quickly
  • Respond to and effectively prioritize multiple phone calls, visitors, and requests for service
  • Communicate verbally and in writing well; create and edit written materials and reports independently or from brief instructions
  • Possess a positive, helpful attitude with a friendly and upbeat demeanor
  • Maintain a high level of accuracy, confidentiality, and professionalism
  • Apply and explain policies and procedures
  • Establish and maintain a variety of filing, record-keeping, and tracking systems
  • Have regular and predictable attendance with occasional overtime; must be able to adjust work hours by coming in early, staying late or delaying lunch breaks to provide coverage
  • Drive vehicle for food and supply pickups
  • Ability to lift up to 25 pounds
  • Ability to effectively communicate (verbally and in writing)


Education/Experience:

  • Bachelor's degree in Marketing, Business, or related field or a minimum of 5 years of relevant experience
  • Previous experience in event coordination or marketing is required
  • Strong organizational skills with the ability to multitask
  • Passionate about learning and adapting to new technologies, specifically LED lighting
  • Basic knowledge of administrative applications: Word, Excel, and PowerPoint
  • Effective technical writing skills and verbal communication
