We are looking to hire a dedicated Part-Time Administrative Assistant to support our Human Resources department.
Position Summary
The Administrative Assistant of Human Resources performs a variety of skilled administrative and clerical duties directly related to human resources and payroll activities. These include maintaining employee database and files, processing employee information changes on HRIS and Payroll system, compiling data and preparing routine and special reports. Maintains employee confidence and protects operations by keeping human resource information confidential.
Knowledge, Skills, Abilities Required
Understanding of human resources and payroll functions. General knowledge of employment guidelines and regulations and best practices. Knowledge of Human Resources Information System (HRIS) a plus. Excellent organizational skills and attention to detail. Extensive knowledge of office management systems and procedures. Ability to operate general office equipment. Excellent written and verbal communication skills. Ability to type 50 words a minute. Proficient in Microsoft Office Suite or similar software. Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy. Ability to meet schedules and deadlines. Good attendance and strong work ethic.
Other Requirements
Must possess current California driver’s license, valid auto insurance and reliable transportation as well as willingness to drive personal vehicle for company business (mileage reimbursed). Employment subject to clearances, including criminal background checks.
Duties and Responsibilities
- Creates and maintains accurate and up-to date personnel records in accordance with State, Federal and contractual requirements in paper copy and digital file
- Maintains the integrity and confidentiality of human resource files and records
- Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately
- Obtains and tracks new hires and volunteer clearances and annual TB testing per agency contracts
- Obtains and tracks mandatory COVID-19 testing and vaccine requirements
- Obtains and tracks staff (employees and consultants) professional licensures; notify staff of expiring documents.
- Helps supervisor with the annual performance evaluation process, including merit increases
- Organizes and formats the Employee Handbook as directed by supervisor
- Collects, prints, and reviews timesheets for labor law compliance during payroll processing
- Processes new hires, and inactivate departures in Payroll software
- Processes health benefit elections for newly eligible employees in payroll software
- Updates employee benefits in payroll during open enrollment period
- Updates pay rates and other employee changes in Payroll software
- Enroll new hires and remove departing employees from the DMV Pull program
- Responds to verification of employment (VOE) as needed
- Proofreads, types, and print documents and HR correspondence
- Completes miscellaneous research, reports, and memos as requested by supervisor
- Assists with safety needs (ergonomic desk assessments, required drills, safety team meetings )
- Assists in onboarding new hires. Welcomes new employees to the organization by conducting orientation
- Helps verify and reconcile monthly premium billing of health, dental and vision insurance and other benefit invoices
- Provides assistance with reference checks, clearances, exclusion and debarment
- Assists with HR/Payroll questions and problems courteously and promptly; refers more complex questions to supervisor
- Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations
- Provides clerical support to the HR department
- Performs other HR-related duties as assigned
Job Type: Part-time
Pay: $17.00 per hour
