Position Overview
We seek a versatile and highly organized assistant for administrative duties for the SVP of Domestic Sales. You will schedule meetings, take notes, and manage day-to-day operations in this role. In addition, prepare presentations and sales reports, research and communicate with team members, retailers, and other business partners while maintaining and updating data.
Essential Job Functions
  • Plan special events, offsite meetings, market week meetings, business and entertainment lunches, and dinners. Includes catering, room reservation, and miscellaneous related duties such as technical support, agendas, meeting minutes/actions, and presentation preparations.
  • Perform non-administrative ad-hoc projects, such as preparing reports and presentations and gathering insights, research, and information to inform decision-making.
  • Strong PowerPoint skills to create visually appealing presentations for storytelling information in a clear and engaging manner
  • Project manage milestone reporting by working with cross-functional stakeholders to ensure timely delivery as needed.
  • Assume complete ownership of the SVP schedule: Confirm meeting agendas, spaces, and relevant attendees, and ensure everyone is well prepared for each meeting.
  • Participate in cross-functional meetings, take notes, and action on critical items to keep people on task.
  • Optimize workflow to ensure workdays are efficient.
  • Partner internally to coordinate travel arrangements.
  • Maintain up-to-date organizational charts, contact lists, and email alias lists.
  • Operate in a highly confidential manner with appropriate discretion. This role will have access to confidential information and situations and must be able to navigate with discretion.
  • Draft and coordinate internal communications on behalf of the SVP of Domestic Sales
  • Manage expenses and travel receipts for accurate accounting reconciliations. File and track reimbursements, credits, and refunds through to completion in Expensify

Requirements
  • Bachelor's Degree in business administration or related field.
  • 3+ years of experience at a beauty company/startup preferred
  • Strong decision-making capability and a proactive approach to problem-solving
  • Exceptional written and verbal communication skills
  • Emotional maturity and professionalism
  • Proficient in Microsoft Office Suite with a particular focus on Excel and PowerPoint
  • Previous experience organizing sales and retailer events
  • Substantial organizational skills, with the ability to prioritize multiple tasks with attention to detail
  • Proven effective written and verbal communication skills - able to simplify complex topics in an approachable manner
  • Thrive in a fast-paced and quickly changing environment
  • Incredibly proactive and able to take the initiative and work efficiently with little direction and take on new job duties

Anastasia Beverly Hills offers a competitive compensation package with full benefits and a 401(K) plan with matching contributions from the company. The starting base salary range for this position in the selected city is $25.00- $30.00 hourly. Compensation may vary outside of this range depending on several factors, including a candidate's qualifications, skills, competencies, experience, and geographical location. Base pay is one part of the total compensation package that is provided to compensate and recognize employees for their work. This role is bonus eligible.
