Overview
Responsible for providing the client with excellence in customer service in certain event operational services and in leading all aspects of the Event Services Department. This includes directing and managing event coordination, event setup and cleaning services. In addition, the Director of Event Services works closely with the Event Managers and clients to ensure a successfully planned and produced event.
This role will pay a salary of $110,000 to $120,000.

Responsibilities
ESSENTIAL DUTIES AND RESPONSIBILITES:
  • Cultivate and develop relationships with department heads, City of Miami Beach, customers, clients, vendors and other service providers.
  • Direct oversight for the Event Services and event operations departments.
  • Hires, trains and oversees the Event Managers, Event Operations which includes the setup and housekeeping services teams.
  • Prepare departmental annual operation budget; recommend capital improvements; control and monitor departmental expenditures.
  • Ensure accuracy of costs for post-event billing of equipment and services for settlement.
  • Inspect facilities to ensure the venue and it's campus are being maintained properly
  • Develops protocols and SOPs and monitors their compliance.
  • Prepares and submit Monthly Management Report of Event Services activities to the General Manager (GM) and/or Assistant General Manager (AGM).
  • Be knowledgeable and trains Event Services team in safety/emergency procedures and event floor plan review.
  • Participant in industry organizations to enhance educational knowledge and relationships.
  • Conduct a variety of industry operational studies; recommend modifications to service delivery methods and operational policies.
  • Conduct planning and operational meetings as required to ensure smooth coordination of Event activities.
  • Manage and participate in the development and implementation of goals, objectives, policies, and priorities of all events related programs and activities.
  • Work independently as needed on special projects and assignments.
  • GM and/or AGM may designate various other responsibilities as needed.
  • Additional duties and responsibilities as assigned.

EVENT MANAGEMENT
  • Manages all day-to-day work assignments for event managers.
  • Coordinates operational activities with internal departments, partners, and approved vendors to ensure venue logistics are detailed without conflicts and the seamless operation of Events.
  • When policies and/or SOP require revisions/updates, the DOE shall review, analyze, & develop necessary justification to enhance quality and efficiency with GM and/or AGM.
  • Develops, implements, reviews, and updates a comprehensive program for coordination of Event requirements for clients, including pre-event planning, event management and post-event review.
  • Coordinates and partners with OVG 360 Sales/Marketing departments and GMCVB to develop strategic marketing & sales alignment for customer services and client retention. Collaborate and develop necessary promotional collateral materials to recruit and attract future clients.
  • Assist Sales Department with site visits with potential clients, to develop confidence and inform of the venue capabilities, requirements, and services.
  • Directly oversee and work with all departments to update the Event Planning Guides (EPG) and other venue collateral materials.
  • Understands, interprets, and provides guidance of the key components of the Event License Agreement (ELA) to the Event Services team.
  • Liaison with the City FD and PD for all compliance regulations.
  • Educate, promote policies & procedures, regulate standards, and be the liaison for internal departments, partners, and all service contract providers.
  • Be knowledgeable of the event management system (Momentus Technologies). Train, oversees and ensures the EM are properly utilizing the system relating to all phases of Event planning, operation, and collection of data.
  • Train and oversee event estimate process for services and equipment. Ensure the event managers are distributing and communicating event estimates.
  • Work with Director of Finance to ensure rate increases are developed for future years.

EVENT OPERATIONS
  • Researches, reviews, recommends, and negotiate contracts for equipment, materials/supplies, temporary labor, and/or vendor necessary to maintain the aesthetics and cleanliness.Review and approve PO, purchases, and invoices.
  • Oversee, evaluate, and ensure training are scheduled monthly, quarterly, bi-annually.
  • Oversee, evaluate, and ensure preventative maintenance services are scheduled.
  • Oversee and manage event operation staff and temporary labor contract with AGM.
  • Review, evaluate, update SOP to improve operations, decrease turnaround times, and increase efficiency for Event Operations team.
  • Training, development, of implementation of the MBCC Sustainability Program.

SUPERVISORY RESPONSIBILITIES:
Directly supervises Event Managers and Event Operations Manager in the Event Services Department, as well as their staff. Carries out supervisory responsibilities in accordance with OVG360's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding; disciplining employees in conjunction with Human Resources; addressing complaints and resolving problems.
Qualifications
EDUCATION AND EXPERIENCE:
  • Bachelor's degree and seven + years of progressive experience within the hospitality/convention meeting, industry, and
  • Five years in a supervisory capacity coordinating major, complex events, trade shows, public events and meetings in a Convention Center, hotel/Convention Center or similar private or public venues.
  • A combination of education and experience may substitute for degree; must be an effective manager in a customer-focused environment.

SKILLS AND ABILITIES:
  • Must be an energetic, forward-thinking and a creative individual with high ethical standards and an appropriate professional image; a strong manager with sound technical skills, analytical ability, good judgment and strong operational focus.
  • A self-directed individual who can lead teams, is articulate and can relate to people at all levels of an organization and possesses excellent communication skills.
  • A good educator who is willing to share information and serve as a mentor.
  • Decision-making skills as well as the ability to multi-task are essential.
  • Excellent organizational, planning and problem-solving skills.
  • Ability to prepare, track, control, and analyze budgets.
  • The work schedule for this position typically fluctuates based upon the needs of a particular event or project, which would require the ability to work a flexible schedule including late nights, early mornings, long days, weekends and holidays.
  • Ability to travel as required.

COMPUTER SKILLS:
  • Demonstrated proficiency with Microsoft Office Suite (MS Word, MS Excel, MS PowerPoint and MS SharePoint and MS Outlook).
  • Knowledge of Momentus Technologies, AutoCAD, or related event management and design software programs.

CERTIFICATES, LICENSES, REGISTRATIONS:
  • Certified Meeting Planner (CMP) Certification or Certified in Exhibition Management Certification (CEM) preferred, but not required.

WORK SCHEDULE:
The work schedule of this position typically involves a 5-day work week Monday through Friday; however, this will fluctuate based upon the needs of the community, a project and/or events. Must have the ability to remain available 7 days per week, work long and irregular hours that may vary due to functions and may include days, evenings, weekends, and holidays. This will also include regional, national and international travel
