Position Title: Rentals & Special Events Director

Position Level: Full-Time (40hrs per week)

FLSA status: Exempt

Rentals & Special Events Director

Art Center Sarasota is seeking a Rentals & Special Events Director to develop and execute the organization’s Rental Business venture. The Event Rental Manager will develop, promote, plan, coordinate, and implement rental sales, cultivating clients and outside vendors in a way that produces an excellent service experience for customers. Duties include providing day-of-venue coordination for events, as well as establishing new and maintaining existing vendor, donor, and client relationships with the Art Center. As a member of our organization, the Rentals & Special Events Director will also play a key role in executing Special Events for the organization to increase mission impact. This position will report directly to the Executive Director and work closely with development team members.

Key Responsibilities

  • Event sales and marketing.
  • Execute sales to develop and secure the venue as a location for parties, conferences, press events, etc. to individuals and organizations to solicit bookings.
  • Work directly with Event Rental clients to obtain all necessary scheduling, needs, and event information for internal staff and external vendors.
  • Meet revenue generating sales goals.
  • Coordinate and host tours of the facility to promote and secure rentals.
  • Work with all departments of the Art Center to create a seamless event experience for event clients, attendees, and staff.
  • Work with approved vendors including: food/beverage, florists, valet/parking companies, amongst others, meet regularly before and during the event to plan and review operational items, logistics, and execution.
  • Represent the event program as needed at Art Center meetings to review any details or conflicts.
  • Review all vendor logistics with the Executive Director and work with vendors to arrange all details.
  • Manage ACS event logistics for annual fundraisers, VIP openings, internal Special Events programming, and private events for Art Center leadership.
  • Work with colleagues to develop and lead planning and implementation of events for the organization.
  • Serve as a staff liaison for event site and support personnel, vendors, and clients.
  • Track and report CRM feedback to the Executive Director and leadership.
  • Handle confidential information appropriately.
  • Attend event activities and assist as needed.

Qualifications and Qualities

  • 3-5 years of experience working in hospitality, event planning, rental management.
  • Experience working with CRM databases.
  • Experience with event management software systems.
  • Ability to work evenings, weekends, holidays as needed.
  • Proficient in: MS Office, Google Suite.
  • Excellent written and verbal communication skills are a must.
  • Must be able to adhere to deadlines, manage multiple projects and handle confidential information appropriately.
  • Attention to detail, organization, and accuracy required.

Preferred Qualifications and Qualities

  • BA / BS preferred.
  • Museum or cultural institution experience.

Communication Skills

Must have excellent interpersonal and communication skills. Demonstrates the ability to: read, analyze, and interpret documents; respond effectively to the most sensitive inquiries; communicate effectively at multiple levels within the organization; manage communications professionally and with respect; know when to escalate issues to upper management; communicate to various contractors and suppliers in a simple and timely manner.

Physical Demands | Work Environment

The physical demands described here are representative of those to successfully perform the essential functions of this job. The person in this position must be able to move about inside and outside the office, stand for long periods of time, have the ability to access and operate computers and other office equipment, and able to lift, move, carry up to 40lbs. In addition to the usual office environment with frequent sitting, walking, and standing, this position will also need to be able to perform duties off-site in a “work remote” capacity. Oral and auditory capacity enabling interpersonal communication as well as communication through automated devices such as the telephone.
