Job Summary

To provide transformational leadership opportunities, meaningful service and wholesome activities for students, BYU-Hawaii Ohana, and the community. Opportunities facilitated by this position are designed to assist in the development of Student’s character, integrity, spiritual and secular learning, leadership in their families, communities, chosen fields and in gaining a deeper understanding of their divine nature and personal mission.

MAJOR ACCOUNTABILITIES:

There are currently two coordinator positions. Assignments are generally interchangeable and specific assignments may be changed as deemed appropriate by the Senior Manager. Also includes supervision at SSAC events, in rotation with other department staff, and supporting the Senior Manager in administering the department.

[35%] Program Implementation

(a) Plans, implements and assesses events and programming in the areas of accountability, with an emphasis on cultural competency; (b) manages student leadership teams and employees in development, implementation and assessment of programming in areas of stewardship; (c) coordinates scheduled events to prevent overlapping with sports and other university programs; (d) contracts with caterers, entertainers, and others for scheduled events; (e) prepares proposals, after-action and budget reports; (f) coordinates internal and external marketing and approves advertising; (g) implements recognition procedures and events; (h) maintains databases and documentation.

[30%] Strategic Program Development

(a) Requests, manages and maintains accountability for budgets within the respective area; (b) strategically plans for and facilitates new areas of program development and growth, based on assessment; (c) develops and maintains policies and procedures for area of stewardship, in consultation with the Director and in compliance with department and University policies; (d) participates in collaborative relationships with campus and community partnerships.

[25%] Training and Development

(a) Hires, trains and develops student employees and other part-time employees; (b) appraises performance; rewarding and disciplining employees; (c) trains employees in customer service, event planning practices, financial processes, university and department policies and procedures or other applicable training; (d) writes resource and training materials; (e) monitors and documents training of Student employees and volunteers to ensure compliance; (f) oversees scheduling and time reporting of Student employees in their respective areas; (g) emphasizes student personal growth and development.

[10%] Other Tasks

(a) Stays abreast of current research and practices; (i.e., media/marketing/advertising, leadership development, event planning, etc.); (c) serves on several university and department committees; (d) represents the university to local, regional and national audiences; (e) performs other tasks as assigned.

KNOWLEDGE, SKILLS AND EXPERIENCE:

Education and Work Experience:

Bachelor’s degree from a four-year institution; three years of experience in event planning and implementation; experience with supervision of Student/staff employees; prior experience with Student Development modalities (i.e., leadership development, clubs, event planning teams, etc.); and experience working with community agencies and/or service projects.

Skill Set:

(a) Knowledge of leadership and Student Development theories, principles, and practices; (b) strong organizational and management skills that includes budgeting, staffing, and communications; (c)

basic Microsoft Office computer skills; (d) experience in event planning for small and large groups (5-1000); (e) ability to be independent and take initiative; (f) proficiency in written and oral communications;

(g) excellent customer service; (h) ability to multi-task and work well under pressure; (i) team oriented.

License or Certification: Must have a current driver’s license

DECISIONS MADE AND REFERRED:

Decisions made independently by this position

Hiring, training and supervision of Student employees and volunteers within the area of stewardship; implementation of established policies and procedures, including imposing consequences for violation of policies; preparation of and accountability to budget for areas of stewardship; ensuring that safety, financial and operational policies are set and followed; resolving conflict.

Decisions referred to the supervisor

Exceptions to policies and procedures; unusual circumstances in imposing consequences for violation of policies; budget transfers and approval and final determination of budgets.

WORK SCHEDULE:

8:00 am to 5:00 pm, Monday through Friday with one hour lunch break. Must be flexible in working hours, including evenings, late nights, Saturdays and some holidays.

TRAINING/EVALUATION:

The employee is required to attend all training that is mandated/approved by the supervisor. In addition, the employee is expected to meet with the supervisor for the annual performance evaluation. Employee must complete FERPA and university financial trainings.

PROBLEMS AND CHALLENGES:

In this position, an employee may encounter student issues, including but not limited to interpersonal conflict, Student Development and behavioral issues, honor code and other issues.

WORK ENVIRONMENT:

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of the job. While performing the duties of this job, the employee is occasionally exposed to moving mechanical parts and outside weather conditions. The noise level in the work environment is usually moderate, with some occasions of loud crowds and loud music.

EQUIPMENT USED:

Employee will routinely use general office equipment. For events, employee may operate equipment appropriate to the activity, such as a sound system, helium tank, hand truck, or other pertinent equipment.

PHYSICAL REQUIREMENTS:

While performing the duties of this Job, the employee is regularly required to talk or hear, to traverse the campus, to assist in moving furniture and decorations, and to lead in recreational activities (e.g., group games, bowling, dancing). Employee may be sitting, standing, stretching, climbing, walking, pushing, pulling, kneeling, crawling, stooping, crouching, reaching or lifting up to 50 lbs, especially during execution of events. Approximate starting hourly rate: $24.00 - $27.00. The wage offered could be above or below range based on education and experience as it relates to the job description.
