Under direct supervision, performs a variety of routine clerical and customer service work requiring frequent interaction with Elected Officials, management, staff and the general public; requiring the ability to communicate in a professional, tactful and courteous manner.
- Provide courteous, efficient customer service
- Performs routine clerical functions
- Answers incoming calls and routes callers or provides information, as required
- Update of Council photos throughout all city building as required
- Order nameplates from the sign shop for the dais as needed
- Process citywide mail
- Handles packages for all city departments and notifies departments of receipt
- Assist with the ordering of food and set up for City Council workshops when directed.
- Assists with the procurement for the department
- Provide telephone coverage for the Planning & Zoning, Legal, Administration Departments, as required
- Prepares correspondence, reports, memoranda, and other material requiring judgement
- Assists with municipal elections
- Scans, verifies, stores and retrieves records and files
- Performs data entry
- Assist with Lobbyist Registration
- Maintain the neat appearance of the City Hall lobby, conference rooms and Council Chambers, daily
- Maintain organization and inventory of departmental supplies
- Keep inventory current for city wide used mail supplies i.e. FedEx envelopes, United States Postal Service Priority Mail, Return Receipt cards, etc.
- Update Human Resources job posting "Read Copy" for the front lobby
- Assists staff with research and compiling information
- Responsible for inventory and distribution of all City Flags
- Serve as backup for the city wide HOA/POA database
- Serve as backup for proclamations for City Council agendas
- Serve as backup for scheduling appointments and travel plans
- Serve as backup to post notices of public meetings for the City Hall notice board
- Provide coverage for administrative staff, in their absence
- Performs any other related duties assigned
PERIPHERAL DUTIES:
- Serves as a member of various committees, as assigned
- Operates a vehicle, on occasion
- High School diploma or equivalent, and
- At least 1 year of clerical experience, or
- Any related combination of education, training and experience
