The New York City Department of Health and Mental Hygiene (DOHMH) is a world-renowned agency with a long tradition of protecting and promoting health in the nation's most culturally and linguistically diverse city. The Center for Health Equity and Community Wellness (CHECW) seeks to eliminate racial and other inequities resulting in premature mortality. With an unwavering grounding in history and structural analysis, CHECW works to increase visibility of the harm perpetuated by centuries of racist, socially unjust policy while pushing towards redress for the most affected NYC communities. CHECW addresses inequity across community and health-care systems in partnership with community, faith-based, and health-care organizations. CHECW's work focuses on the social determinants of health, including environmental and commercial determinants, and addresses both upstream and downstream factors to improve the health and well-being of New Yorkers. CHECW employs anti-racism approaches to reduce and minimize unfair exposure to risk and to advance health justice and social change. In the event of a public health emergency as deemed by the agency (public health outbreak, natural disaster, etc.), employees may be mandated to assume an emergency response role. In these rare instances and when notified, staff will be re-assigned from their regular day-to-day duties as noted in this job description to take on another role considered necessary by the agency. When this occurs, all staff are required to comply with the change in assignment and must be prepared to be called upon promptly.
DOHMH's Citywide Doula Initiative (CDI) aims to reduce inequities in birth outcomes in New York City by providing doula services in neighborhoods that face elevated social and health burdens, as a result of decades of structural racism and disinvestment. The work of the CDI falls into three broad categories: providing no-cost, professional doula support to eligible residents of specified neighborhoods; building and strengthening the city's doula workforce through training, apprenticeships, and continuing education; and partnering with hospitals to increase doula-friendly policies and practices, and increases provider referrals to doula services. Services are provided both directly and through contracts with community doula programs. The initiative also seeks input from community stakeholders through a Community Advisory Board and promotes system-level change through the New York Coalition for Doula Access. CHECW's three Bureaus of Neighborhood Health located in the Bronx, Brooklyn, and Harlem as well as the other neighborhoods served by the CDI. The Bureaus of Neighborhood Health (BNH) partner with community stakeholders to address health inequities and premature mortality by providing tangible resources and practical support, building community capacity, partnering with the perinatal health system to improve the provision of care, and informing policy through broad-based coalitions. Each bureau hosts a Family Wellness Suite (FWS), a safe, welcoming, and supportive space where families and individuals can take classes and connect to other community resources and city services. The FWS Administrative Specialists will support the work of the Family Wellness Suites, including in their interactions with the CDI and other perinatal health programs based in the Bureaus of Neighborhood Health . This position is based in Brooklyn, but supports all three locations (Bronx, Harlem, Brooklyn). Travel may be required.
DUTIES WILL INCLUDE BUT NOT BE LIMITED TO:
Responsibilities: Establish administrative and other systems for the Family Wellness Suite, especially in its work with the CDI.
Schedule and assist with logistics of meetings; record and disseminate minutes as needed; Coordinate all contract-management and payment activities for vendors; monitor contracts with vendors to ensure they are meeting all requirements.
Coordinate purchasing of incentives and other items for the FWS and CDI; Track program expenses and compare actual expenses to budget.
Assist with reports to DOHMH leadership and other documents; Conduct intake of new FWS participants and facilitate referrals and coordination of care.
Draft instructor and other vendor contracts, process invoices, and monitor instructor compliance with training and certification requirements; Other duties as assigned.
Qualifications
1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;
4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.
