NYTech's School of Architecture & Design seeks an Administrative Specialist for the Graduate Programs in the Department of Architecture located at the NY.C campus
ResponsibilitiesADMINISTRATIVE SUPPORT
- Provide support for the SOAD leadership team (Dean, Associate Dean, Department Chair, and Program Directors) in the daily running of the Architecture department at the graduate level.
- Act as liaison between students, faculty, and administrative departments (registrar, admissions, enrollment, student solutions, graduation office, student solutions, advisement, etc.).
- Provide support for the recruitment process including liaison with the university's Office of Admissions.
- Process faculty compensation for architecture faculty full-time and adjuncts in our NYC campus.
- Assist with faculty hiring including coordinating interviews and onboarding of new faculty by processing employment paperwork.
- Develop and maintain efficient and confidential record-keeping and filing systems.
- Purchasing and maintenance of office supplies, instructional supplies, equipment, and computer software.
- Other duties as assigned.
ADVISEMENT
- Run STAR reports for students.
- Work closely with the Senior Advisement Specialist, Department Chair, Program Directors, and Faculty with advisement tasks and student appointments.
EVENTS
- Assist with administrative coordination of student events including but not limited to orientation, open houses, thesis reviews, and commencement. Order food, secure space, promote events, prepare welcome packets, and student tours, process honorariums, etc.
- Assist with the coordination of school special events including but not limited to lectures, exhibitions, and workshops. Order food, secure space, promote events, process honorariums, process travel expenses, etc.
SCHOOL SUPPORT
- Assist the Dean, the Dean's office leadership team and other coordinators with special projects/tasks - e.g. collection of data for accreditation.

Qualifications
- A Bachelor's degree is required; comparable work experience may be considered instead of degree requirements.
- Proficiency in MS Word/Excel/Outlook/Google Docs and willingness to learn other software. Outstanding organizational computer, communication, writing/editing skills. Working knowledge of social media is a must.
- Excellent problem solver with good customer service orientation. Must be professional, tactful, and able to handle multiple projects with varying complexity. Must be proactive and follow through on all tasks to completion, able to work independently and collaboratively and have a professional and positive demeanor.
