Episcope serves as the onsite catering and restaurant for the Penn District, playing a pivotal role in hosting a wide range of events within the district.
Job Summary:
We are seeking a proactive and detail-oriented individual to join our team as a Catering and Events Coordinator. In this role, you will work closely with the Sales Director and Manager to ensure the seamless execution of catering and event administrative duties, operational strategies, and daily tasks. You will play a crucial role in the coordination and execution of all catering and event-related activities, while also overseeing third-party vendors and maintaining our technology platforms.
Key Responsibilities:
UpholdEpiscope’sculture,values,andstandardsdirectedbythecompany.
AssistSalesDirectorandManagerineventplanning,administrativetasks,and
strategies.
CollaboratewithSalesDirector,Manager,andManagementoncateringandevent
preparation.
Coordinatethird-partyvendors,rentalsupplies,andstaffing.
Utilizecompanysystemsconsistently(Tripleseat,Toast,Sevenrooms).
Schedulesitevisitsandconducttours.
Managenon-privatebookings,happyhours,andlargegroupinquiries.
Followupwithleadsforfeedbackandassistance.
Supportcateringeventexecution,includingsetup,staffing,andlogistics.
Develop catering-specific promotional materials and strategies in collaboration with
the marketing team.
Prepare catering contracts, invoices, and other administrative documents
accurately.
Conduct market research to identify catering opportunities and industry trends.
Maintain positive client relationships and respond to post-event feedback and
inquiries.
Serve as Banquet Captain for private events and coordinate with maître’d for event logistics.
Create and update food and beverage menu cards for catering and stationed items.
Record payments accurately in Toast to reflect Tripleseat transactions.
Send invoices and thank-you notes promptly via Tripleseat after events.
Offer proactive recommendations for ongoing operational improvements to Sales
Manager and Director.
Ensure catering equipment is organized, maintained, and inventoried properly.
Attend weekly planning meetings to facilitate organization, operational excellence, and communication.
Qualifications:
- Previous experience in catering, events, or hospitality preferred.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
Proficiency in using technology platforms such as Tripleseat, Toast, and
- Sevenrooms
Flexibility to work evenings and weekends as required.
