Job Description

Acts as first impression of clinic and WTMF as a whole.  Ensures every interaction promotes the Patient First Ethic.  Performs all roles as needed for the front desk: screening, greeting, registration, booking appointments, insurance verification, processing paperwork, checking in, checking out, collecting payment, assisting in MyChart registration, obtaining authorizations,  coordinating new referrals, pre-op/post-op care.

1. Checks in patient in the Epic system which includes: reviewing and updating demographic information, verifying insurance, scanning copies of insurance cards, collecting co-pays and balances from patients. 
2. Assists in procedure scheduling as needed, including coordinating structural heart appointments with the team.
3. Instructs and assists new patients on the proper completion of their new patient paperwork.
4. Continually monitors the schedule as needed and communicates changes to patients.
5. Maintains clean waiting room and working areas.
6. Answers telephone, schedules appointments, screens calls, provides information or routes calls to the appropriate person.
7. Rooms patients and documents chief complaint, vital signs, and updates the patient’s health record in Epic.
8. Assists physicians with clinical procedures.
9. Reviews and preps each patient chart before the visit.
10. Coordinates pre-operative and post-operative care for patients.
11. Obtains physician’s authorization for diagnostic tests and referrals, procedures, and medication, etc.
12. Performs opening and closing standard procedures.
13. Checks for current referrals and/or authorizations for applicable patients. Obtains new referrals from primary care physician as necessary per office site.
14. Photocopies and faxes various documents as necessary.
15. Completes check out process including scheduling return appointments. When applicable, direct schedules appointments into other WTMF clinics.
16. Performs related tasks and assignments as necessary.
17. Complies with established organizational policies and procedures of WTMF.

qualifications and education requirements

1. High school graduate or GED.
2. 2 years of experience in customer service.
3. Training in an accredited program for medical assisting required, certification preferred.
4. BLS/CPR certified.
