Job Summary:
The Business Office Manager is responsible for monitoring and supervision of the daily operations of the Business Office: insurance benefit verifications, pre-certifications, payment and adjustments to patient accounts, all phases of billing, collections and refunds. Also is responsible for monitoring medical records, coding and monitoring charges for proper reimbursement. Responsible for maintaining accounts payable, accounts receivable and generating and submitting of financial reports. Supervises all medical office personnel.
Key Areas of Responsibility:
- Supervises the daily operations of the Surgery Center Business Office; including the allocations of personnel, equipment and supplies.
- Mediate on behalf of the surgery center various problems presented by patients, physicians, staff and insurance companies.
- Implement regulations/scheduling, billing/collection, medical records, coding, accounts receivable, accounts payable in order to meet goals of management.
- Arrange payment plans, admission deposits.
- Analyze accounts receivable in order to recognize problem areas, take appropriate action to remedy problem.
- Maintain effective collection programs for in-house and outside agencies.
- Maintain accounts payable functions to ensure bills are paid on a timely basis. This includes updating bank activity and entering invoices to be paid into QuickBooks.
- Ensure medical records are in order and meet regulatory requirements.
- Directs the development and establishment of policies and procedures to ensure the smooth internal operations of the Center.
- Directly supervises the Business Office, Admissions and ancillary non-clinical staff.
- Initiates and maintains contact with various "Third Party Payers" to facilitate future collection of fees and to aid in contract negotiations that are most beneficial to the Center.
- Corresponds and works closely with various individuals in managing daily operations.
- Review monthly financial and management reports and directs appropriate interventions.
- Enhances professional growth and development to keep current in the latest trends in the Center’s administration.
- Maintains strict confidentiality.
- Performs related work as required.
Knowledge, Skills and Abilities:
- Knowledge of most medical office functions.
- Demonstrated interpersonal communication skills to facilitate effective interaction with a variety of health care professionals and the public.
- Ability to operate computer, various software packages (preferably MS Office, Windows and EMRs), copy machine, fax machine and other office machines.
- Ability to stand stress and pressure.
- Strong analytical skills, effective interpersonal skills, success of doctor relationships and hands-on management required.
Education:
Bachelor’s in business administration or accounting preferred.
Experience:
Three to five years’ experience in the health care field required including one or more years of experience in management of business operations.
Working Conditions:
Requires intermittent sitting, standing, walking. Lifting and pushing of light to medium objects.
Works in clean well-lighted and ventilated environment with no apparent direct exposure to physical hazards.
Based on the OSHA guidelines for protection against occupational exposure to Hepatitis and HIV, this position is described as Category I. This means that this position has no exposure to blood and body fluids. Policies are in place for Universal Precautions identifying risks and appropriate barrier protection.

Pay: $85,000.00 - $95,000.00 per year
