Job description

Prime’s Business Applications Specialist will be responsible for maintaining the optimal performance of our Business Applications and their integrated systems by administrating, maintaining, troubleshooting, and extending those systems to optimize and scale business operations and processes. This includes acting as a liaison, overseeing new feature introduction, supporting error triage and resolution, supporting ongoing system improvements, system administration, automation, and managing/updating workflows as well as integration management.

What You’ll Do:
Operational Management
  • Acts as a main point of contact for all Application questions and challenges.
  • Works cross functionally with IT, Property Management, Finance, and other departments as part of a support team to cover the end-to-end functionality of the system.
  • Handles IT Helpdesk tickets related to Application support including access requests, errors, and improvement requests.
  • Develop, schedule, plan, organize and conduct instructor-led training as well as develop, design, and deploy self-paced web-based training for the operations aspects of property management. 
  • Develop programs and classes with instructional material, classroom handouts, study aides or any other resources that can be presented with instructor-led type training. 
  • Proactively audit and maintain database health - consistently monitoring and working with team members to clean the database.
  • Assess and identify gaps/issues in our current systems and processes and recommend ways to address them.
  • Provide personal and telephone training and support for specific and immediate concerns on an as needed basis.
  • Assist with the administration of new Business Applications.
  • Collaborate with the supervisor and manager to create documentation around systems, processes, automations, etc.
  • Listen, understand the end user needs, and provide suggestions as well as answers to improve customers’ use and satisfaction.
  • Provide systems support to on-site and corporate personnel, primarily for the One-Site Property Management software suite. 
  • Conduct and oversee the setup of property data in the software system for all new take-over properties. 
Strategy and Planning
  • Review and analyze effectiveness and efficiency of assigned system and develop strategies for improving and further leveraging these systems.
  • Create and deploy feedback mechanisms for end users: analyze results, make recommendations for improvement, and implement changes.
  • Evaluate documented resolutions and analyze trends for solutions to prevent future problems.
  • Evaluate and assess new platforms when needed to meet changing or evolving business needs/requirements.
Acquisition & Deployment
  • Conduct research into software application products and services in support of development and purchasing efforts.
  • Provide support for testing new and existing software applications under development or consideration for purchase.
  • Minimum of 5 years of experience in a similar role.
  • Previous training experience for AMSI, MRI, OneSite, and Yardi Property Management software. 
  • Experience with OneSite Property Management would be preferable.
  • Must have Operations experience.
  • Ideally have experience in property management operations at a site level.
  • Expert-level proficiency with Microsoft Office Suite including Word, PowerPoint and Excel and Microsoft Office 365 sharing, collaboration, and workflows.
  • Ability to multi-task, balancing several competing priorities.
  • Strong problem solving and analytic skills to isolate problems, recommend solutions and implementation of solutions.
  • Excellent listening and critical thinking skills – ability to learn quickly, understand current processes and requirements and identify new tools or ways of working that achieve business objectives.
  • You have effective verbal and written communication skills and can adapt a communication style to suit different audiences.
Physical Requirements:
  • The physical requirements described are representative of those that must be met by an employee to successfully perform the essential functions of the job. While performing the duties of this job, the employee is regularly required to communicate and converse with employees, operate a computer and other office machinery and equipment, and maintain a stationary position (standing and sitting), move/traverse, kneel, bend, and reach with hands and arms for extended periods of time.  
  • Regular travel is required to attend business meetings, training classes, or other situations necessary for the accomplishment of some or all the daily responsibilities of this position.
  • Must be able to view computer screens and other electronic equipment for extended periods of time.

Individual compensation is based on various factors, including experience, education, skillset, and geographic location. The specified range is for the San Francisco Bay Area location and may be adjusted to the labor market in other geographic areas.
