DESCRIPTION:
Full-service branding, advertising, Internet Marketing and Web Design agency is looking for hard-working, detail-oriented Bookkeeper/Admin.
Duties and Responsibilities

Manage all aspects of the companies accounting and finance functions using QuickBooks:
· Beginning of the month billing: Clients are all billed differently. Some on fee, some on commission and hourly, some a combo. Follow billing procedures and bill agency clients on a timely basis – within first 5 days of the month.
· End of the month billing: Identify all add-ons for clients and bill agency clients for all add-ons approved throughout the month.
· Match vendor bills to insertion orders and QuickBooks estimates. Input vendor bills after confirmation that agency has billed client for the net or gross amount varying by client contract.
· Pay vendor bills after verification that Agency has been paid.
· Setup and track recurring billing for clients. Ensure all recurring charges are billed on time.
· Field phone calls from vendors regarding billing.
· Download ledger data and match to account and class.
· QuickBooks/run payables report each week for review and paying bills indicated.
· Manage the company's cash flow and disbursements.
· Identify and manage business risks and insurance requirements.
· Track client profitability by reviewing client hours usage on a monthly basis.
· Complete other duties as requested.
Monthly and annual accounting closes
· Perform monthly reconciliation and analysis of ledgers and balance sheet account balances.
· Monthly P&L review to assure all income and expense matches for 50 – 100 categories.
· Generate timely month-end reports. Is. Cash flow, balance sheet, P&L etc.
· Establish, implement, and ensure compliance with accounting policies, procedures, and internal controls.
· Ensure security and confidentiality of financial information.
· Run performance reports of projects using forecast budgets and actual expenses.
Minimum Requirements
· Highly proficient in Quick Books .
· Understanding of advertising agency billing.
· College degree and 3+ years of accounting experience.
· Strong organizational skills with a high level of accuracy and timeliness.
· Ability to multi-task in a fast-paced environment while meeting critical deadlines.
