Job description

The BookeeperII/Daily Money Manager (DMM) II is responsible for managing the day-to-day financial affairs for individuals and families, which include elderly and disabled citizens, busy professionals, and clients who choose not to manage their own personal finances for various reasons.

The Bookkeeper II is responsible for working with small business owners, or their representative, to ensure that their business books are accurate and up-to-date and that all financial obligations are met.

The specific requirements for each client are contained in the Client Accounts Tracking System (CATS).

*Our intention for this position is that it becomes full-time (35-40 hours per week). It will start at fewer hours per week (15-25) and gradually increase during the first 90-days as the new team member takes on more clients and responsibilities. We are willing to consider ongoing part-time depending on the circumstances.

Key Accountabilities:

The percentages below are meant to be guidelines only.

Client Services – 80%

Accountable for delivering comprehensive DMM and Bookkeeping services to all assigned clients. This is done in collaboration with each client’s Account Manager.

Team Growth & Improvement – 20%

Accountable for participating in team meetings and discussions contributing ideas and suggestions for process improvements.

Job Duties and Responsibilities:

Client Services

  • Documenting financial transactions in Quicken and/or QuickBooks Online.
  • Scheduling and executing bill payments in a timely manner.
  • Ensuring proper categorization of transactions by verifying receipts, asking the Account Manager, and/or reaching out to the client.
  • Preparing financial reports to assess the financial status.
  • Recommending financial actions to the Account Manager by analyzing spending trends and any anomalies.
  • Substantiating accuracy of financial transactions by reconciliations and verification.
  • Using an internal tracking system to ensure all clients’ accounts, payments, and records are handled timely, ‘To Dos’ and billable hours are recorded, and notes and completed tasks are recorded.
  • Keeping the Account Managers apprised of any client-related issues or concerns.
  • Maintaining financial security by following internal controls.
  • Maintaining customer confidence and protecting operations by keeping client information confidential.
  • Pitching in on administrative duties, including post office runs, client document pickups, document scanning, and maintaining electronic files, as needed.

Team Growth & Improvement

  • Actively participating in team meetings and periodically leading team activities.
  • Contributing ideas and suggestions for process improvements and enhancing customer relations.
  • Constructively engaging in discussions, with the objective of reaching consensus, on what is in the best interest of CB4U.
  • Maintaining positive relationships with other team members.
  • Proactively identify and participate in opportunities to continuously grow in your professional development.

Minimum Qualifications:

· High school diploma or equivalent required; Associates degree with accounting coursework preferred.

· At least three years of bookkeeping experience required; experience with QuickBooks Online required.

· General understanding of accounting principles

· Proven expertise in Microsoft Word and Excel

· Familiarity with Quicken and/or QuickBooks
