Job Summary:
We are seeking a highly organized and detail-oriented Bookkeeper/Office Manager to join our team. The Bookkeeper/Office Manager will be responsible for overseeing the day-to-day administrative operations of the office, managing financial tasks, and providing support to the team. The ideal candidate will have strong bookkeeping and accounting skills, as well as excellent communication and organizational abilities.
Responsibilities:
- Manage all aspects of office administration, including maintaining office supplies, equipment, and facilities
- Perform double entry bookkeeping tasks, such as maintaining the general ledger and recording financial transactions utilizing company specific accounting software
- Handle accounts receivable duties, including invoicing clients, tracking payments, and following up on overdue accounts
- Conduct bank reconciliations to ensure accuracy of financial records
- Utilize accounting software (RCC & QuickBooks Online Payroll) to manage financial data and generate reports
- Coordinate with external vendors and service providers
- Support HR functions, such as maintaining employee records and assisting with payroll processing
- Manage office correspondence, including emails, phone calls, and mail distribution
- Schedule appointments and meetings, and maintain calendars for the team
Requirements:
- Proven experience in office management or a similar role
- Strong knowledge of double entry bookkeeping principles and general ledger accounting
- Proficiency in using accounting software (QuickBooks Online), training will be available for industry specific software utilized by office
- Familiarity with gross receipts taxes, accounts receivable/payable processes and bank reconciliation procedures
- Excellent organizational skills with the ability to prioritize tasks and meet deadlines
- Strong attention to detail and accuracy in data entry and record keeping
- Effective communication skills, both written and verbal
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Previous experience in public accounting is a plus
