We are an established immigration law firm with an immediate opening for an Administrative Assistant in our San Jose office. We have been serving the Bay Area for over twenty years. Our reputation is founded on our personal service and dedication to our clients. We seek a bilingual professional candidate who will provide administrative support to our paralegals and attorneys and handle some reception duties as needed. The right candidate will help us maintain our reputation of outstanding client service. The hours are 8:45 AM - 5:15 PM with a half-hour lunch break.
You must have excellent attention to detail.
Job Responsibilities
- Processing the high volume of mail that we receive and ensuring all mail received on a given day is properly distributed on that day
- Calling clients to confirm their appointments for the next day
- Retrieving files from the file cabinets and later returning them to their proper location
- Maintaining the database of files stored off-site
- Processing files for completed cases for off-site storage
- Calling clients to remind them of their appointments, court dates, interview dates, and for payment
- When the receptionist is not available, duties will include reception tasks such as greeting clients and visitors and answering visitor inquiries, answering incoming calls in English and Spanish, answering the office voicemail, and similar tasks
- Interpreting for the attorneys (Spanish and English)
- Maintaining the office waiting area lobby
- Scanning, photocopying, faxing and filing documents
The candidate must have:
- Outstanding attention to detail and organizational skills
- Fluency in English and Spanish
- Quick and accurate interpretation skills
- Proficiency with Microsoft Word
- Excellent verbal communication skills
- Ability to work both independently and with others
- Positive, upbeat attitude
- Dependability
Education
- A high school diploma or GED is required
