We are seeking a dedicated and organized bilingual (English/Spanish) Administrative Assistant to join our team at Hygieia Behavioral Health Foundation, a dynamic Mental Health Outpatient Clinic. The Administrative Assistant will play a crucial role in ensuring the smooth operation of administrative functions within the clinic, supporting both clinicians and clients. This position requires strong organizational skills, attention to detail, and the ability to handle sensitive information with confidentiality. Under general supervision, the Administrative Assistant assists with the day-to-day office operations of the counseling center and leads a wide variety of administrative clerical support tasks as assigned.

Key Responsibilities:
· Administrative Support:
o Assist clinicians with various administrative tasks, including document preparation, filing, and data entry.
o Coordinating intake processes for new clients, including gathering necessary paperwork and verifying insurance information.
o Manage electronic and paper records, ensuring accuracy and compliance with privacy regulations.
o Handle inquiries from clients, clinicians, and external stakeholders promptly and courteously.
· Scheduling and Coordination:
o Coordinate scheduling changes and cancellations and communicate with clients accordingly.
o Collaborate with clinicians to ensure efficient scheduling and room utilization.
o Arrange meetings, workshops, and training as needed, including logistics such as room reservations and materials preparation.
· Billing and Financial Administration:
o Assist with billing processes, preparing invoices, and processing payments.
o Monitor accounts receivable and follow up on outstanding balances as needed.
o Collaborate with billing department or external billing services to resolve any discrepancies or issues.
· General Office Support:
o Maintain office supplies, ensure adequate stock levels, communicating what is needed.
o Coordinate with office management for maintenance and repairs.
o Assist in all other administrative tasks as needed
Qualifications:
· High school diploma or equivalent
· Proven experience in an administrative role, preferably in a healthcare or Mental Health setting.
· Familiarity with medical terminology, HIPAA regulations, and insurance processes preferred.
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and electronic medical records (EMR) systems.
· Excellent communication skills, both written and verbal.
· Strong organizational skills with the ability to prioritize tasks and multitask effectively.
· Discretion and professionalism when handling confidential information.
· Excellent customer service skills and the ability to handle difficult situations with professionalism and empathy.
· Ability to work independently and collaboratively.
· Minimum of one year experience performing complex and responsible office and administrative/secretarial duties, preferably including some administrative support in a healthcare setting.
