ESSENTIAL FUNCTIONSinclude the following. Other duties may be assigned.
- Assisting both clients and technicians by taking calls and resolving any needs
- Creating work orders and scheduling technicians in company ERP
- Follow up with clients, both external and internal, on projects including equipment ship dates.
- Follow up with technicians who are missing time from the weekly labor report.
- Labor
- Ensure correct labor codes are entered for the work tasks daily.
- Assist the team leaders to ensure labor is entered correctly.
- Work with Analytics Leader to send out inspection forms.
- Compiles data from Client’s utility bills monthly.
- Create POs; review receipts and send them to Procurement; review invoices and send them to Accounts Payable.
- Assist with billing when applicable
- Certificate of Insurance management as it relates to Automation.
- Coordinate with the bonding agent to procure required bonds.
- Research school closings for AI agreements clients (Spring Break, Christmas break, days off) and add to Automation Calendar in Outlook
- Assist in the coordination of internal and external kickoff and close out meetings

EDUCATION and/or EXPERIENCE:
- High school diploma or GED
- 2-4 years in a similar administrative role- HVAC industry a plus
- Experience with Microsoft Office/Excel
- Extraordinary phone etiquette & proven people skills
- Organizational skills
- Attention to detail
