Leads Coordinator
J-Neal Construction, a growing Insurance Restoration company that provides quality construction and general contracting services, is looking for a driven and caring Leads Coordinator to join our team. JN Construction partners with Pro Clean CDRS to provide complete restoration services for our customers when they are in the midst of any fire, water or storm insurance claims. We also provide many other construction and remediation services. Our goal is to cultivate a culture that spills into our community with a “Two Companies - One Purpose” atmosphere.
Position Summary:
This position is the first point of contact for our customers and the public and is a vital asset to our team. The candidate will play a primary role in promoting a professional image and assist in building and maintaining a valued reputation amongst our customers and community. This position is essential to the success of our companies and is responsible for ensuring excellent customer service to all of our members as well as supportive administrative services to the Office Coordinator and overall Leads Department.
Our ideal candidate will be well organized, self-motivated, detail-oriented, and be able to interact with our Customers, Insurance Companies, Mortgage Companies, Third-Party Companies, and Vendors in a professional manner.
This candidate would also have Office and Administrative experience, has the ability to multitask and is able to carry out miscellaneous marketing/advertising tasks (including but not limited to: posting to our social media pages). This is an in-office position located at 256 Lenox Ave. Mansfield, OH 44906 and you must have reliable transportation. Occasionally, there are local errands to run or traveling to events from the office.
Responsibilities
● Prepare weekly and monthly reports with relevant leads (aka. potential customers) and marketing source information
● Prioritize daily tasks
● Edit and maintain data entries in several apps (BuilderTrend, QuickBooks online, etc.)
● Interact with Office equipment and general repair vendors/suppliers
● Maintain adequate inventory of office supplies and order more as needed
● Prepare purchase orders for office supplies and stock items, having the ability to place online orders
● Processing customer payments for invoices and providing receipts
● Process new customer forms and contracts
● Coordinate with Leads Department to prepare for meetings
● Prepare social media postings as needed
● Ability to work independently
● Serve as a resource for customer questions and respond to information needs with guidance from other staff members
● Ensure all correspondence, emails, filing, etc. are thorough, accurate and timely.
● Carefully proofreads all materials going out of the office and into the hands of customers and other departments that we communicate with.
● Answers phone calls, handling situations whenever possible (acting as the gate-keeper) and/or forwarding to the proper party to answer the question
● Ability to coordinate and schedule appointments and meetings for our estimators and inspectors
● On-Call Rotation (carrying a phone, appx. 1 week/month - bonus structure attached)
● Timely third-party program updates (keying in customer contacted dates, inspection dates, etc. to keep company in compliance)
● Open, sort, and distribute incoming mail
● All other duties as assigned
Qualifications
● Detail Oriented and able to multitask
● Proficient in Microsoft Office (word, excel)
● Proficient in QuickBooks online
● Exceptional customer service skills
● Office experience (2 years minimum)
● Manage effectively with varying workloads
● Must be able to lift up to 25lbs
● A team player with a positive attitude
● Excellent written and verbal communication skills
● Must have reliable transportation

● 9 hour shift (Monday-Thursday) and 4 hour shift (Friday)
● Day shift (starting 7:15 am Monday-Thursday) and Day Shift (8:00am-12:00pm Friday)
● Monday, Tuesday, Wednesday, Thursday, Friday
● No weekends (except for the on-call phone rotation: appx. 1 week/month - bonus structure attached)
