Position Overview: As a fully remote organization, we are seeking an Associate Executive Assistant who embodies the efficiency and organization required to thrive in a digital workspace. This role is pivotal in ensuring seamless operations within our fast-paced, virtual environment. The successful candidate will not only manage traditional Executive Assistant duties for our CEO, but also work closely with the Senior Executive Assistant, providing indispensable support and coordination. This role involves significant interaction with the full leadership team and occasional backup support for their Administrative Assistant. Ideal candidates will have at least 10 years of experience, preferably with background in supporting leadership within rapidly growing small business government contractors. Military experience is appreciated.

Key Responsibilities:

  • Email and Calendar Management: Prioritize and manage communications, maintaining the CEO’s calendar with a high level of detail to ensure optimal organization of his daily schedule.
  • Task and Project Tracking: Employ advanced task management tools to monitor and report on tasks and projects, ensuring that all deadlines are met and progress is communicated efficiently.
  • Leadership Team Support: Provide support and coordination within the full leadership team, including backup support for their Administrative Assistant as needed.
  • Documentation and Reporting: Generate comprehensive reports and documentation, such as meeting summaries and updates on projects, maintaining meticulous records that support decision-making.
  • Remote Meeting Coordination: Expertly coordinate and set up video conferences, ensuring that all participants have the necessary information and resources for productive meetings.
  • Newsletter Preparation and Distribution: Design, compile, and distribute the organization's newsletters, ensuring timely and effective communication of company updates, achievements, and events to the wider team and stakeholders.
  • Event Planning: Take the lead in organizing and coordinating internal and external events, ranging from small team gatherings to larger corporate functions, managing all aspects from conception through to execution.
  • Collaboration with Senior EA: Form a cohesive partnership with the Senior Executive Assistant, ensuring constant support and collaborative efforts to meet executive and organizational needs seamlessly.

Skills and Qualifications:

  • A minimum of 10 years of Executive Assistant experience, with a preference for those who have supported leadership within the government contracting sector.
  • High proficiency in Microsoft business apps (SharePoint, OneNote, Teams), task management software like Asana, and HubSpot CRM.
  • Exceptional organizational and communication skills, with a proven ability to manage complex schedules, coordinate remote meetings, and handle multiple tasks efficiently. Ability to navigate the nuances of digital communication with grace and professionalism.
  • Demonstrated experience working in a fully remote environment, with the ability to collaborate effectively with team members across various digital platforms.
  • Military experience is a plus.
