About the Role
CHANEL is looking for a driven individual to join our events Team in New York. You will play a key role in supporting engagement initiatives across all divisions including executing event logistics, production and supporting event recapping processes. In addition, you will support the team with overall team processes with travel, expenses etc. Our ideal candidate will have 1-3 years of experience and will have a passion for details, logistics, creativity, and communication.

EVENTS:
  • Proactively create and update event overviews, distros and recap documents
  • Prepare for and attend appropriate meetings to effectively support the team
  • Manage meeting preparations, agenda/presentation development
  • Collaborate and communicate on projects with internal teams and external vendors
  • Communicate with and request proposals from vendors for upcoming events based on anticipated needs
  • Support creative process for all events through collaboration with the Creative Team
    • Submit CDR/CORs
    • Track progress to meet deadlines
  • Support event gifting process and execution for all events
    • Identify gifts that make sense for each event
    • Work with Fragrance & Beauty team to approve items
    • Submit and track orders
    • Provide boutiques with order details and confirm deliveries
  • Manage Teams channels and access for events
    • Compile lists, create templates and update RSVP tracker for events
    • Respond to guests emails via RSVP emails
    • Grant access to necessary teams
  • Preparedness for ad-hoc team support and event requests
ADMIN:
  • Update and maintain master calendar of events
  • Schedule bi-weekly team meeting and route agendas to the team to add relevant topics
  • Manage office supplies and place orders as needed
  • Manage holiday gifting list and process through communication with the team and partnership with vendors
  • Help maintain upcoming restaurant and venue deck
  • Continue to explore potential vendors across different services including florists, production companies, new venues, etc.
  • Assist the team in maintaining an accurate storage inventory
  • Research competitive local events and compile quarterly recaps for Global
  • Help maintain relevant culture decks including restaurants, venues, arts and culture institutes, hotels etc.
  • Support entire team with the following responsibilities:
    • Coordinate and oversee travel
    • Develop and manage travel itinerary. Anticipate, address and promptly communicate any potential travel-related issues
    • Schedule and coordinate meeting needs, professionally liaise with other EA’s and vendors to coordinate timing
    • Execute day-to-day administrative tasks efficiently and proactively

Position Logistics:
  • Minimum 2 years’ experience
  • Will need to be in the NYC office most days of the week
  • Open to potential travel and weekday/weekend events
  • Client facing role – will need to interact with clients at various events

Compensation
  • The anticipated base salary range for this position is $49,100 through $65,000. Base salary is one component of the total compensation for this position. Other components [may/will] include additional compensation, benefits and perks.
  • Base salary, bonus potential and other forms of variable pay [may/will be] offered for this position
