Who we are?
Ethical Culture Fieldston School is a progressive PreK-12 independent school that has been serving students from throughout New York City and the surrounding suburbs since 1878. ECFS offers a rich curriculum in the arts, sciences, and humanities. A co-ed, nonsectarian school, it serves a diverse community of about 1,700 students on two campuses -- one in the Riverdale section of the Bronx and the other in Manhattan. The Upper School, located in the Bronx, is comprised of approximately 600 students and 80 faculty members.

Position Summary
The Parent Engagement andEvents Associate position provides administrative support for ECFS P+T programming and all-school events put on by the Advancement Department. The role reports to the Director of Events and Engagement. They will support the Parent Engagement and All School Events Manager daily. This position will support P+T programming at the Bronx and Manhattan campuses.

The hiring range for this position is $62,400-67,400. When determining the salary for an offer, ECFS considers factors including, but not limited to: the scope and responsibilities of the position, internal peer equity, key skills required for the role, the candidate’s work experience, education and training, as well as market and organizational considerations.

Please note that this is an onsite role and is not performed remotely. Ethical Culture Fieldston School retains its right to modify job duties in accordance with changing operational needs.

Responsibilities

Specific responsibilities of the role will include the following:

P+T

  • Working closely with the P+T Engagement and Events Manager;

  • Supporting all P+T events, including venue/room assignments, catering, run of shows, outreach and attendance, budgeting, and attending the events;

  • Assisting with requests as needed or directing them to the appropriate party;

  • Working collaboratively with parents and school volunteers while reinforcing the school’s operational guidelines and procedures when planning and executing events;

  • Helping with volunteer parent committees, taking meeting notes, and providing administrative support;

  • Keeping track of expense reimbursements for events, budget tracking, and reconciliation of accounts;

  • Responsible for managing P+T internal and external calendar and supporting related content on the Philanthropy microsite;

  • Interacting with the Communications Manager to provide consistent and dynamic messaging, including but not limited to weekly newsletter content and social media.

All-School and Advancement/Alumni Events

  • Working closely with members of the fundraising and alumni teams, volunteers, and administration to develop and implement events that are true to the mission and brand of the School;

  • Providing general support with event planning, coordination, and production of events;

  • Assisting with the entire life cycle of events from planning to execution is inclusive but not limited to: developing content, securing event dates/locations, drafting text for invitations, tracking attendance, managing event budgets, selecting catering and rentals, communicating technical/facilities setup, planning seating and décor, assisting with day-of-event staffing;

  • Maintaining event RSVPs, creating event records, and tracking responses in Raiser’s Edge database;

  • Preparing name tags, materials, packages, gift bags, registration lists, seating cards, etc. as needed;

  • Performing projects, tasks and other related duties, as assigned.

Position Requirements
The successful candidate must have:

  • A Bachelor’s degree;

  • At least 1-3 years of related experience in events, operation event planning, or volunteer management;

  • A commitment to independent school education; an understanding of ECFS mission and goals and the ability to articulate the school’s uniqueness and relevance;

  • Excellent written and verbal communication skills;

  • Familiarity with Raiser's Edge, Asana, Cvent and Social Tables, a plus;

  • Strong follow up skills, be highly organized and detail oriented;

  • The ability to handle confidential material with discretion and possess the highest degree of integrity;

  • The ability to collaborate and build and foster relationships with all levels of employees and community;

  • Respect and appreciation for diversity in all of its forms;

  • Strong problem-solving skills and ability to be flexible and anticipate potential risks;

  • A passion and experience running events of all sizes;

  • The capacity to work early mornings, evenings, and weekends to execute various events;

  • The ability to listen effectively and be open to feedback.
