Sr. Associate of Events

Location: Remote

Reports to: Director of Events


WHO WE ARE LOOKING FOR:


The Per Scholas team is seeking a highly organized and detail-oriented Senior Associate of Events to join our team. The Senior Associate of Events will be responsible for planning and executing various events, including campus events, graduations, partner panels, local fundraising, and webinars. The ideal candidate will have a strong background in event planning, excellent communication skills, and the ability to collaborate well with different stakeholders. The individual deeply values the importance of ensuring that all stakeholders have a consistent experience through various touch points.


The position will report to the Director of Events and work collaboratively across the Marketing and Communication team.


WHAT YOU'LL DO:


  • Planning and Coordination: Work closely with the internal and external stakeholders to determine event (virtual and in-person) requirements, including objectives, goals, budgeting, scheduling, and logistics. They create a detailed project plan, outlining all tasks, deadlines, and resources needed for a successful event.

  • Vendor Management: Research and negotiate with vendors, such as caterers, decorators, audiovisual technicians, and entertainment providers, to ensure the best services within the allocated budget. They also oversee vendor contracts and manage their performance.

  • Event Logistics: Manage all logistical aspects of the event (virtual or in-person), including coordinating transportation, accommodation, technical equipment, and other necessary resources. They create and maintain a detailed timeline for the event, ensuring that all activities occur seamlessly.

  • Event Communications and Promotion: Partner with stakeholders to promote pre and post event through various channels including social, email, landing page and others. Manage event speakers and attendee registration to ensure a seamless process.

  • Budget Management: Develop and manage the event budget, keeping track of expenses, negotiating costs, and ensuring that expenditures align with the planned financials. They regularly update the stakeholders on budget status and help them make informed decisions regarding spending.

  • Risk Management: Identify potential risks and develop contingency plans to mitigate them. They also ensure compliance with legal and safety regulations, such as obtaining necessary permits, insurance, and ensuring crowd control measures are in place.

  • Evaluation and Feedback: After the event, they gather feedback from clients, attendees, and vendors to evaluate the success of the event. They analyze this feedback to identify areas of improvement for future events.

WHAT YOU'LL BRING TO US:


Professional Requirements

  • High School Diploma or equivalent required. Bachelor's Degree (or equivalent practical experience) preferred.
  • Minimum of 3 to 5 years experience managing events from concept to completion to support an organization's mission.
  • At least 2 years of project management experience managing multiple workstreams and prioritizing competing tasks in a fast-paced environment
  • Knowledge of Google Suite (Docs, Sheets, Slides etc.), Microsoft 365 (Excel, WOrd, PowerPoint, etc), Salesforce, experience in email marketing campaigns, HubSpot, a plus
  • Occasional travel and some nights and weekends will be necessary to perform the event role.

  • Compensation

    For this role specifically, we target 65k with a salary range of $55,000 - $65,000. The salary difference is typically determined by several factors, including the selected candidate's geography and alignment with qualifications and experience.
