RESPONSIBILITIES
- Reconciles and analyzes general ledger AP/AR accounts, control schedules, floor plans and manufacturer inventory at month and year end, working with store personnel to resolve any discrepancies
- Provides exceptional customer service when communicating with all vendors, employees and customers with professional verbal and written communication, including inquiries related to accounts, procedures and services
- Manages daily office operations and coordinates activities of billers, title clerks, cashiers and bookkeepers, overseeing workflows, structure, scheduling, and development of office staff
- Issues timely, complete, and accurate monthly financial statements and reports
- Prepares daily and monthly bank reconciliations and cash tracking, including credit card, ACH, check/cash deposits and other banking items
- Books deals, collects incentives and expenses reports, shipping and delivery
- Oversees DMV functions and systems
- Ensures compliance with company policies and procedures and with local, state, and federal reporting requirements and safety rules and regulations
- Maintains orderly and accurate historical records, filing physical and electronic accounting documents, in accordance with company policy and accepted accounting practices
- Maintains records of vendor contract terms and expiration dates
- Ensures that required licenses, permits and regulatory documents are maintained and filed in a timely manner, such as IRS Form 8300
- Prepares sales/use, scrap tire, and lease tax forms and files with the state
- Processes incoming and outgoing mail
- Establishes, modifies, documents, and coordinates implementation of accounting and accounting control procedures
- Identifies and communicates process opportunities and risks with the Comptroller, General Manager and store personnel to help move our accounting processes to the next level
- Maintains strict confidentiality on all matters related to the company to protect our values
- Updates job knowledge by participating in educational opportunities
- Cross-trains in all accounting and office positions
- Perform other routine and complex administrative tasks
- Maintains an organized, clean, and safe work area
- Perform other related duties as assigned
- Experience in CDK is Preferred.

- Ability to work autonomously on projects; dependable self-starter
- Proficient in Microsoft Excel and Word
- Ability to learn the Dealership Management System, accounting software and inventory software
- Thrive in working in structured and unstructured situations
- Excellent leadership skills
- Ability to work hours necessary to complete the job duties assigned
DESIRED EDUCATION & EXPERIENCE
- Associate’s degree in Accounting, Finance or related field required
- 5+ years of Automotive Office Manager experience preferred, including Automotive Accounting of AP/AR general ledger
- Knowledge of computerized information systems used in financial and/or accounting applications; experience with CDK (formerly ADP) or DealerTrack preferred
- In-depth knowledge of Accounts Payable & Receivable, account reconciliation, and title work
- Strong understanding of general ledger accounting and financial controls
- Valid Driver’s License required with acceptable driving record

WORKING CONDITIONS & PHYSICAL DEMANDS
- General office setting with moderate noise level
- Vision, hearing, speech, movements requiring the use of wrists, hands and/or fingers
- Frequently required to sit, and must be able to stand, stoop, and bend to organize files
- Must read and comprehend accounting software, instructions, correspondence, and memos
LOCATION AND SCHEDULE
Hiester Automotive Group offices are located 25-45 minutes outside of the Raleigh-Durham, North Carolina area, in Fuquay-Varina, Lillington and Sanford.
Full-Time
Work Monday to Friday; Work weekends occasionally as needed due to work load
