 Hourly Pay Range: $20.00 - $24.00

**This is a seasonal position that will run approximately 6/8/2024 through 8/23/2024.**

**In preparation for camp the work schedule will be 20-30 hours per week on or around, 4/29/2024 - 5/31/2024.**

**Work hours increase to 40 hours per week beginning, 6/3/2024 until 8/23/2024.**

Summary

The Aerospace Camp Experience (ACE) Administrative Specialist provides administrative and logistical support to ensure The Museum of Flight provides an engaging and inspirational day-Camp Experience for a diverse group of youth. This position ensures a smooth and successful experience in day-to-day office procedures and supporting the ACE Leadership team and requires a level of professionalism to successfully serve external customers as well as lead and support camp staff. 

 

Essential Duties & Responsibilities

  1. Process camper registrations and ensure necessary data is accurately transferred to ACE database, museum accounting, and museum registration staff. Organize and maintain accurate and complete camper information files. Ensure that copies of relevant information be provided to Lead Counselors as required.
  2. Provide great customer service to campers, their adults, and other stakeholders via phone, email, and in person. 
  3. Track outstanding participant forms and payments and provide appropriate and timely notifications to clients. 
  4. Prepare and maintain weekly camp group attendance materials and health information.
  5. Purchase program activity supplies, as directed and ensure all camps have adequate supplies for all activities. 
  6. Assist in the preparation for and training of camp staff. Provide input to ACE Manager in regard to performance reviews.
  7. Assist the ACE Leadership Team in the administrative activities surrounding recruitment, hiring, and training of ACE staff.
  8. Follow ACE and Museum policies and procedures, including those related to medical and disciplinary situations, child abuse prevention, and emergency procedures.
  9. Support campers emotional and social development, encouraging understanding of others and positive self-concepts.
  10. In partnership with program leadership, may provide oversight and guidance with daily operations including team support, facilitation, volunteers, and colleagues.
  11. Assist with the supervision and organization of campers during Extended Care sessions that are conducted prior to and after regular camp programming, as needed. 
  12. Perform other duties as assigned.

 

Qualifications

Education & Experience

  • High School diploma or equivalent. Some college preferred.
  • Minimum of one (1) year of administrative or logistic work experience. 
  • Minimum of one (1) year in a customer service environment.
  • Experience leading teams in a work or academic environment.
  • Experience working with children/youth such as a camp, daycare, or educational facility is preferred.

 

Knowledge 

  • Knowledge in maintaining inventory; counts, appropriate number of goods to fulfill and order. 

 

Skills

  • Demonstrates good interpersonal skills; customer service mindset.
  • Strong organizational skills.  
  • Computer proficiency in a Microsoft Windows environment, especially in Excel, Word, and PowerPoint.

 

Abilities

  • Ability to work effectively with a wide range of people, including staff, campers, parents, and volunteers.
  • Demonstrated ability to effectively prioritize multiple and competing tasks and plan work activities efficiently. 
  • Ability to make solid decisions quickly under pressure and comfortable leading and directing camp staff and camp participants in a respectful and professional manner.

 

License & Certification

  • Current First Aid, CPR and AED certification, or may be obtained prior to first day of camp through the provided Museum certification training or other.

  • The schedule for this position will be determined by the Supervisor. Primary seasonal work schedule is Monday through Friday from approximately 7:30am - 3:30pm. Summer hours will be finalized at regular staff meetings.
  • No travel is expected for this position.

  • Able to work in an active camp environment within the public space of a busy museum.
  • Onsite attendance is essential to perform the duties of this position.
  • This position works in a normal office environment with long sedentary periods and repetitive wrist and arm movement. 
  • The ability to bend, carry, reach, overhead and to the side, push, pull, focus, walk, stand, twist and squat are occasional requirements in a normal camp environment.
  • Able to occasionally lift up to 50 pounds with assistance.
  • Able to stand and walk throughout the work day.

Compensation

The hourly rate for this position is between $20.00 - $24.00 per hour depending on experience.
