We are seeking a highly motivated Administrative Specialist with demonstrated experience to join our team. As an Administrative Specialist you will play a crucial role in supporting the efficient operation of our civil engineering office by handling administrative tasks and ensuring smooth communication between various departments. The successful candidate is a versatile professional able to manage multiple tasks efficiently while ensuring accuracy and compliance in all processes.
Key Responsibilities
- Perform technical editing of documents and reports, ensuring accuracy, clarity, and adherence to company standards. Utilize advanced Microsoft Word formatting skills to enhance document presentation and readability.
- Assist in preparing and distributing engineering, marketing, and planning reports, contract specifications, planning documents, statement of qualifications, and other office correspondence.
- Front desk reception including managing a multi-line phone system, welcoming clients, and maintaining smooth communication flow throughout the office.
- Maintain and update office records, including client databases, project files, and administrative documents.
- Purchasing office supplies and equipment. Coordinate with vendors and suppliers to order, receive, and inventory necessary office supplies and equipment.
- Support project managers with the preparation of funding opportunity summaries, funding applications, and maintaining a funding tracking workbook.
Qualifications:
- 3+ years of proven experience working in an administrative role, preferably in a professional services environment.
- Highly skilled in Microsoft Office products, particularly Word and Excel, and technical ability to self-learn industry software.
- Associate or bachelor’s degree in business administration, office management, or a related field preferred; high school or equivalent diploma required.
- Knowledge of civil engineering terminology and processes is desirable but not required.
- Excellent written and verbal communication skills.
- Motivated, positive attitude and strong work ethic.
We offer a competitive salary of $4,000 to $5,500 per month, based on your experience and work hours.
