Job description

The Administrative Specialistperforms specialized clerical duties within the Personnel and Training Unit and handles the Accounts Payable/Receivable functions within the Police Department. This position plays an important role in ensuring the Police Department's Personnel and Training Unit runs efficiently and effectively, working in partnership with police officers, department staff, and the public and ensures that the Police Department's Accounting functions are handled and processed in a timely manner.

  • Prepare, maintain, update complex system data and produce reports; recognize and define problems in report data and reconcile information and/or accounts as needed; research questionable entries found in the data and initiate corrective measures as necessary
  • Perform Accounts Payable and Accounts Receivable functions for the Police department.
  • Create, edit and process memos, technical documents and other communications related to policies, processes and procedures within the department
  • Plan and coordinate citywide recruitment events; communicate information and policies with vendors and the general public
  • Establish, maintain and update files, records, accounts and other information
  • Complete processes and/or transactions involving multiple steps and the application of varied, complex and/or ambiguous guidelines
  • Attend meetings as required, transcribe and distribute meeting minutes, agenda and communications
  • Monitor, track and reconcile budgets and expenditures within the administrative scope of a project, program and/or department
  • Schedule and coordinate support for the personnel and training team
Education and Experience:
  • Associate's Degree or high school diploma /G.E.D. with 2 years of college level coursework
  • Five years of progressively responsible administrative support experience
  • Any combination of education and experience that provides the desired knowledge, skills and abilities to perform the essential duties of the position.
Licenses and Certificates:
  • Must possess a valid Washington State driver's license by date of hire and maintain an insurable driving record by City standards.

SELECTION PROCESS:
  • Top candidates will be invited to take Public Safety Testing's Personal History Questionnaire (PHQ), which is pass/fail.
  • Final candidates who have passed the PHQ will be invited to an oral interview (passing score 70%; weighted at 70%).
  • The City may use existing pools to fill this position, including transferring applicable current written exam scores and oral board scores for similar positions.
Background Investigation:
Polygraph, psychological exam, drug screening, medical exam and extensive on-site background investigation will also be required of selected candidates being considered for hire.
Automatic Disqualifiers:
The City of Redmond Police Department will automatically disqualify any individual who has at any time:
  • Lied during any stage of the hiring process.
  • Falsified his or her personal history questionnaire or application or failed to disclose pertinent information.
  • Been convicted of a felony (or pled nolo contendere to a felony charge) or any offense that would be a felony if committed in Washington State, or has been incarcerated for any crime.
  • Sold marijuana, narcotics or dangerous drugs.
  • All illegal and/or recreational drug use will be closely scrutinized on a case by case basis.
  • Had a pattern of abusing prescription medication.
  • Been dishonorably discharged from the United States armed forces.
  • Received more than two moving traffic violations within the preceding 3 years; or reckless driving violation within the preceding 5 years; or driving while license suspended within the preceding 5 years; or driving while intoxicated within the preceding five years.
  • Been involved in more than one motor vehicle accident within the preceding 3 years for which the applicant received a traffic or criminal citation and was convicted, forfeited bail, or entered a plea of "guilty" or "nolo contendere."
  • Been previously employed as a law enforcement agent and since has committed or violated federal, state or city laws pertaining to criminal activity.
  • Committed any serious violation of Federal, State, City or County laws.
  • Been convicted of any crime under a domestic violence statute.
  • Unlawful sexual misconduct.

Discretionary Disqualifiers:
The following disqualifiers may, upon review by the Redmond Police Department, make you ineligible to become a City of Redmond Police Support Administrative Specialist:
  • Alcohol or substance misuse and/or abuse.
  • Excessive traffic violations.
  • Commission of a felony.
  • A demonstrated unwillingness to honor fiscal contracts or just debts.
  • Any other conduct or pattern of conduct that would tend to disrupt, diminish, or otherwise jeopardize public trust in the law enforcement profession.
  • An inability to perform the essential functions of a Police Support Administrative Specialist.
