This position provides administrative support to the Southern Enforcement Branch of the Division of HealthCare. As an Administrative Specialist II, you would assist in day-to-day operations to include answeringphones, open and distribute mail, fielding questions from the public, monitoring schedules, managing personnelfiles, monthly reports, and conducting new employee orientation for new Branch employees.
This position isalso responsible for reviewing and proofreading health care packets and processes, checking submissions foraccuracy and completion, assisting staff with basic computer needs, accesses the following databases: Aspen,Acts, Oscar and MDS to input and retrieve information.This position maintains time and attendance records of branch staff, assists with timesheet entries, workschedule changes, and runs payroll reports in KHRIS. The Administrative Specialist II is an office positionwith a 5-day work week and reports to the OIG Enforcement Branch in London, KY (Laurel County).

Responsibilities and Duties
- Performs administrative support functions for the Eastern Enforcement Branch.
- Reviews and proofs health care packets and process for accuracy and completion.
- Assists office staff with basic computer needs.
- Accesses, inputs and retrieves information from the ASPEN, ACTS, OSCAR and MDS online databases.
- Monitors schedules and makes appointments.
- Maintains personnel files.
- Creates monthly reports.
- Conducts new employee orientation for new employees at the Branch level.
- Answers phones.
- Opens and distributes mail.
- Maintains time and attendance records.
- Assists staff with payroll errors.
- Runs payroll reports for errors and missing time in KHRIS.
- Order office supplies and maintains inventory of equipment and supplies.
- Maintains vehicle log, computer log and training log.
- Other duties as assigned.
- Background in health services is preferred to address the needs of our customers.
- Excellent interpersonal skills with the ability to communicate effectively and respectfully with people of diverse backgrounds and in diverse settings.
- Highly organized with the ability to multitask.
- Excellent writing and written communication skills.
- Proficiency with use of computers and Microsoft Outlook, Word and Excel programs for daily tasks.
- Highly organized individual and experience managing a large case load are preferred.
- Customer Service Experience.
