BUILD YOUR CAREER WITH US
As an Administrative Specialist, you will interface with Project Managers, Cost Control, and Accounting Supervisor in order to support the administrative and accounting functions within the Critical Facilities division of ATS. You will help Project cost compilation and preliminary analysis while managing out-of-state taxes and registrations, subcontractor paperwork distribution, and vendor invoice processing. You will also have the opportunity to:
- Compile project cost details utilizing accounting software.
- Create invoice packages in PDF.
- Subcontract administration including management of subcontract paperwork, invoices, and payments.
- Create project cost guidelines, and prepare and file use tax returns in multiple states.
- Complete customer prequalification applications.
- Prepare and file use tax returns in multiple states.
- Perform monthly job cost reviews.
- Update and maintain master job cost and billing documents.
- Process inter-company cost transfers.
- Jobsite insurance enrollment and maintenance .

BACKGROUND AND EXPERIENCES THAT WILL SET YOU UP FOR SUCCESS
- Strong foundation in Microsoft Excel
- Exceptional time management and organizational skills
- Practice working independently
- Proven workload prioritization, multi-tasking, and working under pressure in an occasionally fast-paced environment to meet deadlines
- Experience working on mid- to long-term projects and while being able to react to unanticipated demands for time
JOB DETAILS YOU SHOULD KNOW
- Base salary for this position ranges from $46,000 - $56,000 and is based on experience and tenure
- This is a full time, exempt position. Typical work days are Monday-Friday
- This position requires an in-office presence
