For Temporary Appointment-
High school diploma or high school equivalency diploma; and five years of experience in administrative support*, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office.
- Certification (e.g., IAAP Certified Administrative Professional), diploma, or associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience.
PREFERRED QUALIFICATIONS:
- Bilingual or multilingual communication skills.
- Ability to demonstrate professionalism, confidentiality, flexibility and integrity in all work, and demonstrate cultural awareness and sensitivity.
- Ability to be self-starter, able to multitask, and have good communication, organization and time management skills.
- Proficient in MS Office.
The Administrative Specialist 1 will be responsible for providing administrative and clerical support for high-level executives including HESC President, Executive Vice President and General Counsel, as well as outreach staff, fellows and/or interns. Performs numerous duties, including scheduling, drafting correspondence, emailing, handling visitors, routing callers and answering routine questions and requests.
DESCRIPTION OF JOB DUTIES: Duties include but are not limited to:
1) Coordinate office management activities, including supplies, equipment and space modifications
2) Maintain executives’ agendas and assist in planning appointments, board meetings, conferences etc.
3) Identify matters of top priority for proper handling
4) Handle confidential emails and/or documents, ensuring they remain secure
5) Ensure timely responses to incoming requests or correspondence
6) Schedule meetings, including coordinating meetings between the agency’s Albany and NYC offices
7) Manage and coordinate travel arrangements, including the preparation of travel requests and vouchers
8) Meet and greet visitors
9) Receive and screen phone calls, routing callers to appropriate staff members
10) Coordinate responses to information requests
11) Prepare and/or review reports, correspondence or presentations
12) Maintain office procedures
13) Other duties as assigned
