Major Duties and Responsibilities

Under direction, provides secretarial and non-routine administrative support (i.e., independently formulates decisions and/or judgments involving non-legal interpretation of policies and procedures as they would apply to given situation to resolve problems, to prepare correspondence and/or reports, or to carry out other assignments): serves as Office of Families and Children (OFC) liaison with designated Ohio Department of Children and Youth (DCY) Offices (e.g., Office of Employee and Business Services [OBES]) to receive and disseminate information related to fleet management, asset control, and security administration and safety; reviews and summarizes operational reports (e.g., lease vehicles); researches and prepares data for budget inclusion; assists in writing budget justification; monitors spending and maintains fiscal records (e.g., monitors and reviews cost reports to ensure accuracy of allotted funding); assigns state vehicles to OFC employees and tracks individual monthly use (e.g., reviews and reconciles Department of Administrative Services [DAS] monthly invoices, lost voyager cards, accident claims, and approved maintenance for vehicle fleet; verifies drivers licenses and driving records of OFC employees; works with DAS Risk Management to resolve and process issues associated with car accidents and property damages).

Performs other administrative duties (e.g., coordinates acquisition and maintenance of office equipment [e.g., copiers; printers; telephones]; researches cost information for purchase of new equipment; ensures office equipment is operational and functioning properly for OFC employees; completes minor maintenance [e.g., replaces toners, drums, and rollers]; troubleshoots and notifies Office of Information Services [OIS] when issues with equipment cannot be resolved; arranges for on-site repairs); disseminates information from DCY Move Team to OFC staff regarding facility moves; assists with moves (e.g., ensures cubicles are available and ready to utilize); oversees paycard (e.g., reviews requests for materials and supplies) and coordinates purchases with Office of Fiscal and Monitoring Services (OFMS).

Performs other related duties as assigned (e.g., attends and participates in staff meetings, conferences, and trainings; answers phone calls; greets visitors; participates in charitable activities for OFC; operates personal computer to produce correspondence, reports, and other documents; maintains logs, records, and files).

Qualifications


The following are the minimum qualifications for this position. For further consideration, applicants must clearly identify how qualifications are met within the education and/or experience sections of the applications.

Completion of associate core coursework in secretarial science or business office applications from accredited career school or community college; 12 mos. exp. in secretarial/Administrative Professional field.

  • Or 30 mos. exp. or 30 mos. trg. in secretarial/Administrative Professional field.
  • Or 12 mos. exp. as Administrative Professional 2,16872.
  • Or equivalent of Minimum Class Qualifications For Employment noted above.

Supplemental Information

Unless required by legislation or union contract, starting salary will be the minimum salary of the salary range 10 (step 1, currently $24.53 per hour) associated with this position.
